Job Description
POSITION OBJECTIVE
The Coordinator will manage day-to-day operations for the Center on Poverty and Community Development under the general direction of the center director. Perform business related functions including finance, plan center budget needs, maintain and monitor externally funded budgets and expense accounts, and assist with grant proposal creation. The Center on Poverty and Community Development is a research center of the Jack, Joseph and Morton Mandel School of Applied Social Sciences.
ESSENTIAL FUNCTIONS
Maintain and monitor grant and contract funded budget and expense accounts, prepare and review grant proposals and applications to include compliance with university and sponsoring agency policies and procedures; meeting with the center director on a regular basis to review grant funding versus budget and give appropriate financial direction and work with the director to submit reports on externally funded projects. Maintain externally funded project records and coordinate communication with sponsors and other collaborators within and outside Case Western Reserve University. (30%)
Prepare and maintain center budget needs by analyzing program plan on both a short- and long-range basis, considering past requirements and expenditures and present program plan. Perform needs assessment, make projections based on multiple items and variables, analyze budget variances and recommend courses of action. Prepare internal financial analytical reports and analysis. (20%)
Support the center's staff by sharing and interpreting school and university policies and procedures and ensure compliance. Communicate any changes in HR and university policies (e.g., for reimbursements and travel policies and procedures) to center staff. Communicate hiring of student employees or doctoral students to Office of Student Employment or Mandel School HR. Approve time for center staff in coordination with center director. (15%)
Advise and assist center principal investigators in the preparation of grant proposals and applications including compiling supporting information and preparing budgets. Enter grant proposal into SPARTA and work with school and university contacts to ensure adherence to university and sponsor guidelines. (15%)
Manage assorted administrative functions for the Center on Poverty and Community Development such as managing center space; maintaining an updated web site and communications for the center; supporting IRB protocol management for studies; arranging staff travel and conference registrations; processing and managing independent contractors as needed by the center; and other functions as needed. (20%)

CONTACTS
Department: Continuous and daily contact with center and school staff and faculty to provide information, coordinate operations.
University: Frequent contact with other university departments like Research Administration, on a regular basis for purposes of SPARTA, HCM, and project invoicing.
External: Frequent contact with sponsors and external partners to exchange information.
Students: Occasional contact with students to exchange information.
SUPERVISORY RESPONSIBILITY
No staff supervision required. Supports student employees.
QUALIFICATIONS
Education and Experience: High school education and 6 years of related experience required; OR Associate's degree and 3 years of related experience required; OR Bachelor's degree and 1 year of related experience required.
REQUIRED SKILLS
Excellent communication skills and professionalism via in-person, virtual or electronic communication.
Strong organizational and interpersonal skills (both oral and written) required.
Strong writing skills required for grant editing and budget proposal submission.
Understanding of sponsored programs administration.
Awareness of federally-funded research reporting requirements.
Proactive approach to potential problems, excellent problem-solving skills required.
Excellent computer skills experience and superior mathematical skills; ability to use financial spreadsheets, accounting software, funder application interfaces, and Case Western Reserve University systems such as PeopleSoft and SPARTA.
Ability to interact with colleagues, supervisors and partners face to face.
Ability to meet consistent attendance.
WORKING CONDITIONS
General office environment. Work requires negligible physical exertion. Little or no exposure to hazards. The employee will perform repetitive motion using computer mouse and keyboard to type. This position is eligible for the staff hybrid remote work program.
Hybrid Eligibility
This position is eligible for hybrid work arrangement up to two remote days per week at the discretion of the department. New employees may begin a hybrid schedule upon approval from the supervisor, successful completion of an orientation period and signing the remote work checklist certification form.
