POSITION OBJECTIVE

Working under general direction, provide administrative support to department. Perform a variety of clerical duties and typing assignments requiring speed and accuracy. Process and file confidential documents. Assignments may be long term and require the individual to rely on their own resources in task accomplishment.

ESSENTIAL FUNCTIONS
Act as a resource departmental gatekeeper for outside departments with regards to meter calibration, training, isotope ordering and approval, inventories, etc. Maintain records and perform general data analysis. (40%)
Coordinate isotope ordering and approval. Obtain and provide radiation data for current and past employees. Approve and authorize external shipments for non-regulated radiation packages. Track and oversee the facilitation of New Isotope Use Applications. (20%)
Schedule meetings and provide an agenda for the Radiation Safety Committee Members. Coordinate Audits of the Radiation Safety Committee. Compose minutes for Radiation Safety Committee meetings. (10%)
Order supplies for office, service for office equipment, and food and other needs for committee meetings. Maintain cooperative relations between departments and sales representatives. (10%)
Initiate and follow up on routine correspondence. Prepare travel expense forms for reimbursement. Proofread and edit correspondence, reports, records, etc. as necessary. Follow up with plant services regarding pest control. (10%)
Oversee general operations of clerical staff and student employees, authorize, and approve timecards; may assist in training of junior level clerical hires with office procedures. (9%)

NONESSENTIAL FUNCTIONS

Perform other duties as assigned. (1%)

CONTACTS

Department: Daily contact with co-workers regarding tasks.

University: Regular contact with university faculty and staff to advise and explain new Authorized User Packets could be up to several times per day. Contact university personnel regarding department programs (telephone, fax, or email) when information is required. Contact with laboratory technicians consist of exchanging information on training programs along with general questions regarding work practices of the Radiation Safety programs. Daily contact with Procurement to advise, confer, and approve radioactive materials purchase requisitions.

External: Daily contact to evaluate and administer discretion when dealing with Emergency Response questions. Contact with representative regarding breakdown of office equipment when in need of repairs. Occasional contact with vendors to provide with updated list of isotope users. (upon request usually every six months).

Students: Contact may involve some oversight of student employees.

SUPERVISORY RESPONSIBILITY

This position has no direct supervision of staff employees. May direct the work of students or temporary employees.

QUALIFICATIONS

Experience: 2 to 3 years of related secretarial experience required.

Education: High school education required.

REQUIRED SKILLS
Excellent communication skills: Understanding written sentences and paragraphs in work related documents. Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times. Communicating effectively in writing as appropriate for the needs of the audience. Talking to others to convey information effectively.
Ability to actively learn - understanding the implications of new information for both current and future problem-solving and decision-making.
Ability to operate copy and fax machines to perform calculations and produce documents.
Ability to meet consistent attendance.
Ability to interact with colleagues, supervisors, and customers face to face.

WORKING CONDITIONS

General office environment. The employee will perform repetitive motion using a computer mouse and keyboard to type.
