Roles and Responsibilities:

Serves as a receptionist in the front lobby.

Greets visitors, requires visitors sign in, ensures visitors receive a visitor badge & contacts the appropriate contact person to meet the visitor in the lobby.

Answers telephone and routes phone calls to the appropriate personnel

Performs basic clerical tasks (e.g. receives, sorts, & routes mail; prepares and mails certified letters;

Prepares materials for mailing;

Places postage on outgoing mail using the postage machine; receives and signs for deliveries from delivery vendors & routes packages to appropriate personnel; reviews conference room schedules to identify meetings for the day; operates gate button to allow gates to open & close at the county and district facilities; monitors cameras; ; troubleshoots or arranges for repairs & maintenance of office equipment).

Provides secretarial assistance for the Business & Human Services, Capital Administration, & Highway Management departments through routine administrative tasks.

Prepares reports & correspondence; creates forms, spreadsheets & presentations utilizing a computer & related software (e.g. Microsoft Word, Excel, PowerPoint); proofreads correspondence.

Works on special assignments & projects as directed (e.g. making suggestions to the Public Information Officer on topics for newsletters &/or newspaper articles; updates manuals & packets).

Performs other work-related duties as assigned.

Required Skills:

Skill in typing/keyboarding; operating personal computer & associated business office software; operating office equipment (e.g. printer/scanner/copier/postage machine).

Ability to apply principles to solve practical everyday problems.

Ability to prepare meaningful, concise & accurate reports; deal with problems involving several variables within context; copy material accurately & without error; sort items into categories according to established methods; gather, collate & classify information about data, people or things; answer routine telephone inquiries & /or face to face contacts; carry out instructions in written, oral or picture form; proofread technical materials, assess questions & provide appropriate information or referral; recognize errors & make corrections; screen mail; cooperate with co-workers on group projects.
