Description
Purchasing Assistant's fulfill a variety of responsibilities and support functions for the Purchasing Department. They will provide a variety of functions including tracking vendor compliance, requesting and uploading required vendor forms, responding to vendor inquires, collecting data for upcoming requests for proposals and providing office support.

Responsibilities of Position:


Assist in generating purchasing reports and collecting data to be used in formal requests for proposals.
Monitor and provide professional responses to inquiries in the general purchasing email account.
Assist with new vendor set up requests and updating necessary contacts in the vendor portal program.
Track vendor inquiries and prospective vendors to ensure their inclusive on upcoming bid opportunities.
Ensure vendor compliance by obtaining and uploading valid certificates of insurance and worker's compensation for service-oriented vendors.
Provide and update access for Rumpke team members in various web stores.
Generate purchase orders for various office and operational supplies.
Assist outlying locations with general questions on purchase orders and the electronic vendor portal.
Assist with manual filing and electronic document uploading for department related documents and projects.
Welcome on-site visitors and provide general information as needed.
Maintain a positive and professional work atmosphere with a culture of respect by performing and communicating in a manner that promotes good relationships with internal customers, external vendors, co-workers and management.
Other duties as assigned.

Skills & Abilities Needed for Position:


General knowledge of office functions.
Excellent verbal and written communication skills with all levels.
Must be organized and detailed oriented with the ability to multi-task.
Computer proficiency in Windows and Microsoft applications, Outlook and TEAMS.
Must possess a high degree of confidentiality, excellent customer service and data entry skills.
Ability to work well under pressure and be flexible and cooperative.
Ability to follow standard purchasing and company policies and procedures.
Efficient and effective work habits to work both independently and as a team.



Physical Requirements in a Regular workday:


Occasionally lifting/carrying up to 20lbs.
Rarely pushing/pulling up to 20lbs.
Continuously sitting in office environment.



Additional Working Conditions/Aspects:


Legally eligible to work in the United States.
Valid driver's license (if applicable).
Must successfully complete pre-employment testing.
Must be able to read and speak the English language.

Education
High School (required)
General Education Diploma (preferred)

Experience
SAP experience in Materials Management and Purchasing a plus. (preferred)
2 years: Administrative Assistance, or similar experience. (required)
