JOB TITLE: Payroll & HR Specialist

REPORTS TO: Director, Human Resources & Installation

LOCATION: This is an in-office position at our corporate location in Cincinnati, OH 45241.

Position Summary

The role of the Payroll & HR Specialist is to provide accurate payroll administration and processing for all employees and support various administrative & accounting functions within the organization. At least three years’ experience with processing payroll is required. Familiarity with other aspects of HR such as benefits, compliance, employee leave, etc. will be beneficial for this role. The ability to communicate and work well with others, produce accurate work product and maintain absolute confidentiality is a must.

Primary Responsibilities

Administer and process biweekly payroll, which includes:

Review and enter personnel related information into CE Payroll, including individual employee information, pay rate changes, tax deductions and benefit deductions.

Review and enter CE Payroll information from FieldEase and Expensewire databases, including commissions.

Assure accuracy of information in CE Payroll and electronically transmit data to payroll processing firm by designated deadlines.

Verify withholding, process child support payments, garnishments, levies, etc. and track all requests.

Maintain electronic and hard copy files of all required payroll-related documents.

Administer and ensure accuracy of information for electronic transfer of funds and direct deposit of checks.

Administer mass payroll changes, including changes in deductions for benefits, general increases, etc.

Respond promptly to payroll related questions from employees and managers.

Provide support for various administrative & accounting functions within the organization, which includes:

Benefits

Assist with benefits administration and employee support.

Maintain up to date/accurate benefits information in HR system, ComputerEase.

Verify unemployment insurance claims and refer exceptions to appropriate manager.

Create and prepare reports as requested.

Respond promptly to questions from employees and managers on personnel and benefit policies/procedures and benefit claims.

Employee Records/Files

Maintain up to date/accurate employee information in HR system/database, CE Payroll.

Develop and maintain organizational charts and employee bios.

Establish and maintain confidential employee files in compliance with government regulations.

Retains records in line with company record retention requirements.

Provide employment verifications when requested.

Respond promptly to employee activity related questions from employees and managers.

Accounting

Manage approved reimbursements and ensure inclusion (or deduction) on upcoming payroll.

Manage Corporate credit cards, assigning cards for new hires and linking accounts within ExpenseWire.

Monitor Corporate credit cards for compliance with reporting expenses.

Assist accounting with projects as needed.

General Support

Maintain company bulletin board and Teams bulletin board with up-to-date information and compliance requirements.

Coordinate company events for employees as requested.

Monitor reception area for visitors and deliveries.

Sort incoming mail into employee mailboxes and handle shipping/mailing of materials.

Skills/Experience Needed

Must have at least 3 years of experience with processing payroll.

Familiarity with prevailing wage, piece rate, multi-state payroll, certified payroll, Davis Bacon and governmental project payroll is a plus.

Knowledge of payroll related practices including taxes and withholding.

Familiarity with payroll software and ability to learn new software quickly.

Strong attention to detail and ability to maintain confidentiality.

Above average communication skills and the ability to work effectively with both internal and external customers.

Ability to convey a positive and professional image.

Strong knowledge of Microsoft Office, including Microsoft Teams.

High school diploma or GED required; some college or HR/payroll certification is a plus.

Experience with CE Payroll/Deltek, FieldEase or Expensewire is a plus.
