OhioMeansJobs| Cleveland - Cuyahoga County is sourcing for an Administrative Assistant for a Construction Company in Valley View

 

Position Summary:

 

A full time administrative position with an essential role in the day to day operations reporting to the office manager. This position requires an individual who is detail oriented, very organized, has great math aptitude, understands technology in the business environment, is energetic and works well in a team setting.

 

Essential Duties & Responsibilities

  • Performs all assigned duties in an effective, timely and professional manner
  • Miscellaneous tasks and projects as assigned by president, department managers and/or office manager. Backup for Payroll and AIA Billings.

Administrative:

  • Answer incoming phone calls
  • Communicate and work cooperatively with vendors, suppliers, city building departments and contractors
  • Evaluate need and maintain adequate office supplies
  • Open, sort, and stamp incoming mail. Maintain proper levels of postage for outgoing mail
  • Update concrete log on a daily basis

Accounts Payable:

  • Match purchase orders, packing slips and/or tickets to appropriate vendor invoice
  • Prepare, process and pay vendor invoices, vouchers, etc.
  • Process lien waivers with A/P payments and AIA billings
  • Maintain accurate, neat and organized A/P and lien waiver files
  • Manage all vendor correspondence and reconcile monthly vendor statements

New Jobs:

  • Handle city registrations, insurance certificates and tax exempt forms
  • Mail NOC, NOF and signed contracts
  • Make job folders and update job file status spreadsheet

Human Resources:

  • Keep ample supply of new hire packets
  • Maintain drug free program worksheet as well as entering in new employees
  • Monthly compliance reports
  • Weekly LCP tracker and online union reports

 

Qualifications

 

Minimum high school diploma and 3 years’ office experience

Business or accounting degree preferred

Proficient in Microsoft Office (primarily Excel and Outlook)

Construction background a plus

Excellent verbal written communication skills

Willingness to be flexible and adaptable to changing priorities

Must be organized, self-disciplined, detail oriented and possess a good math aptitude

Must have the ability to set priorities while maintaining multiple projects

Must be able to thrive in a fast-paced work environment
