JOB DESCRIPTION
Position Title: Volunteer Coordinator
Scope Data: Reports to Manager of Volunteer Programs
Status: Part-time, Year-round, non-exempt
Salary Grade: 22: Starting wage; $17 -$24 hourly
Overview: Support the Volunteer Program with administrative functions and volunteer
supervision during service projects. Assist the park district in implementation of its mission and
work plans in collaboration with staff, volunteers, and partners to foster a meaningful volunteer
experience.
Essential Duties:
• Develop and maintain positive relationships with volunteers (active and inactive),
volunteer supervisors, and partners.
• Prepare volunteer e-news communications using a bulk mail system to share
park updates, safety information, and opportunities. Track efficiency of
communications through open rates and click-through reports. Update lists and list
segmentation.
• Assist with recruitment, selection, and on-boarding process to in-take new
volunteers as needed per request of volunteer supervisors. This includes presenting
information sessions, coordinating interviews, and guide applicants through the
process.
• Manage current volunteer database including volunteer service records and
contact information, audit timesheets, and provide monthly reports to volunteer
supervisors and the board of commissioners.
• Provide support to evaluation and researching of new technologies and
databases to grow the volunteer program capacity and efficiencies.
• Assist with volunteer recognition.
• Manage online volunteer signup system for special events and projects.
• Assist with coordinating, executing, and supervising volunteer service events in
collaboration with park and partner staff. Prepare supplies, logistics, trainings and
communications as well as supervise volunteers during special events and projects.
• Respond to inquiries and requests regarding on-going, episodic, or group
volunteer opportunities in timely fashion.
• Positively represents the park district at internal or external events.
• Facilitate program and volunteer evaluations for quality and effectiveness.
• Maintain updated knowledge of conservation topics, park projects and events,
and volunteer management best practices.

• Develop and maintain procedural manuals for areas of responsibility.
• Review and update annually the volunteer application, agreements, and position
descriptions as well as the volunteer and volunteer supervisor handbooks.
• Comply with all park district policies and procedures, including safety and risk
management programs.
• Provide general administrative support and perform other duties as assigned.
Qualifications:
• Graduation from High School or GED required. Higher education degree or
working towards in related fields preferred. Desired experience in parks and
recreation, non-profits, volunteerism and project management.
• Passion for and experience as a volunteer and/or volunteer supervision.
• Willingness and ability to work an irregular schedule, including days, nights and
weekends.
• General knowledge of Summit Metro Parks and risk management preferred.
• Ability to communicate effectively verbally and via written materials supported
by images or other content with clarity and brevity. Strong interpersonal skills with
ability to relate to and work with all types of people with tact/diplomacy in one on
one and group settings.
• Demonstrated knowledge of administrative processes, organization and time
management skills.
• Demonstrated emotional intelligence to include self-awareness and accurate self assessment,
• sensitivity and empathy, openness, reliability, trustworthiness and consistency.
• Ability to be flexible, creative, prioritize, problem solve, maintain multiple
projects, set and meet goals, and receptive to guidance and direction.
• Valid driver’s license with clear driving record.
• Strong proficiency to operate a variety of office equipment and software
programs such as Microsoft Office (Word, Excel, Access, SharePoint and Power
Point), Adobe, Google Drive, and Constant Contact or other bulk email provider.
Essential Physical Demands and Working Environment:
This position is a mix of administrative office work and in-the-parks project support
