POSITION SUMMARY

Under supervision of the Director of Title III & Executive Director of Student Success & Engagement, provide superb customer service to students, employees, and guests and support to the Student Success and Engagement (SSE) department and Title III project efforts. Provide reception, office management, and administrative support to SSE and serve as a resource for Title III meetings and activities.  Participate in research and development to facilitate operational efficiency, advancement, and innovation that enable to advance the mission of Marion Technical College (the “College”).

ESSENTIAL JOB DUTIES, FUNCTIONS AND RESPONSIBILITIES

  1. Provide administrative support to various student services within the SSE department including advising, disability services, tutoring and testing services. Receive and direct incoming phone calls, manage multiple email accounts, greet and direct visitors and students, and respond to general questions. Schedule appointments and maintain daily schedules of staff in the department. Develop and maintain a strong knowledge base of the College departments, programs, services, events, faculty, and staff. Keep a well-organized and professional area for communication, support and processing within the department.
  2. Triage student appointment and drop-in advising requests. Review student records to confirm major, transcript/course completion, and determine placement testing needs. Develop and administer new student intake form.  Assist the Executive Director and advisors with current student enrollment outreach campaigns.  Maintain communication with the Office of Admissions, Office of the Registrar, and Testing Center to ensure a seamless and positive student experience.
  3. Maintain user proficiency for software programs, systems, and databases used by the College. Act as an administrator for MTC’s student engagement dashboard (Watermark Student Success and Engagement) and appointment scheduling platform (Accudemia). Assist the Executive Director with implementing and maintaining settings, building and updating academic plan templates, data entry and cleanup, and running regular reports. Create, update, and disseminate training materials for advisors and faculty on best practices in the utilization of Watermark, and serve as a resource to employees to address common questions and maximize utilization.
  4. Attend SSE and Title III meetings to provide summary reports of meeting minutes and action items.  Assist Director of Title III compile information for monthly/quarterly progress reports and annual report.  Maintain Title III time and effort reports for all Title III activities.  
  5. Hire, train, and supervise student employees. Manage the office front desk schedule to ensure full coverage, assign tasks, and monitor work performance. Verify and approve time cards for student employees on a biweekly basis. Create and maintain a front desk manual.
  6. Provide assistance with purchase requests and order supplies through Business Portal. Communicate with the Business Office, Director of Title III and the Executive Director to track purchases and manage the department budget.
  7. Assist with preparation and implementation of SSE department programs, events, and projects as assigned including, but not limited to, New Student Orientation. Manage registration process, track program completion, and assist with reporting participation and collating evaluation feedback.   
  8. Maintain inventory of print materials, assist with updating documents and forms used within the department, and assist with keeping website content current in collaboration with the Marketing department.
  9. Respond to inquiries from students, College employees and customers in a timely manner; maintain confidentiality and privacy in accordance with the College, HIPAA, FERPA, student records, and any other protected documentation.
  10. Create and pursue a plan to develop professional opportunities within the scope of work responsibilities, department, and College objectives. Demonstrate self-motivation, ability to research, and continually update knowledge and skills. 
  11. Recommend new approaches, policies, and procedures to effect continual improvements in efficiency of the department and the College.

 QUALIFICATIONS

Associate’s degree (from a regionally accredited college or university) in business, office administration, information technology, or closely related field required. Bachelor’s degree (from a regionally accredited college or university) preferred. Minimum of three years’ experience of relevant administrative or office management experience and strong customer service experience required. Experience in higher education highly desired.  

Exhibit excellent verbal, interpersonal, and written communication skills. Proficiency with Microsoft® Office programs (Word, Excel, Access, PowerPoint, and Outlook), and excellent computer and related technology skills required. Demonstrate the ability to work independently and complete projects on time with minimal direction and oversight while displaying a high attention to detail. Ability to multitask in a fast-paced environment is required. Any of combination of work experience, training, and/or education equivalent may be accepted. Willingness to work an irregular schedule as assigned. Successfully pass a background check prior to and maintain throughout employment. Valid driver’s license or dependable transportation required.
