Job Description
We are looking for an Associate Occupancy Planner to join our Occupancy Planning and Management team in Cincinnati, OH. This is an onsite position.
As an Associate Occupancy Planner, you will be required to understand at the campus level, how much space is currently available, the workplace conditions and headcount projections by local business unit. You will be responsible for tracking, analyzing, and updating space data and using this information to develop scenario and occupancy plans for our client's portfolio in a designated region.
Essential Functions
Function as the POC for site and campus level customer space requests, planning questions and attend all meetings for major renovation projects, small projects and project moves
Contribute to strategic planning ideas with other members of the occupancy planning team to resolve campus/building-specific forecasts, needs, concerns, and issues
Contribute to the development of migration plans and sequencing of group-level moves / relocations
Develop preliminary program requirements for each department and building
Provide site stacking diagrams by location, by building and by floor
Understand the principles behind Hybrid work and Design for Attendance and review all presented solutions against corporate guidelines
Lead utilization studies including deploying sensors, performing manual observations, and tracking badge swipe data
Data Management and Reporting
Ensure data accuracy by participating in audits (including seat assignments, occupancy, vacancy, labs & equipment)
Present audit data to Senior Occupancy Planner
Provide data for the quarterly site books, monthly auto pilot calls and ad-hoc reporting as needed : data includes headcount projections, supply and capacity information, status of major initiatives (as related to space) for your site, group block and stack plans, and attendance reports
Manage and maintain CAFM data to ensure accuracy of reporting
Track and report projected versus actual seat counts
Report the current supply and capacity, and forecasts inventory changes for a rolling three-year period
Forecast order of magnitude scopes for the development of schedules and budgets for project moves planned to occur based on stacking plans/strategy
Measure, monitor, and report cost saving and value-added contributions
Relationships
To foster critical relationships between various individuals and organizations communication channels will exist with:
Occupancy Planner(s) at other customer sites to review and resolve geography-specific forecasts, needs, concerns, issues, and migration to and from other sites
JLL One Team to review stacking strategies and project moves that impact stacking plans and or site strategy.
Between various individuals and organizations such as department managers and/or administrative assistants to collect seating assignments
Education, Experience and Skills
1-2 years work experience within facilities, space planning, occupancy management, or CAD/CAFM related roles
A Bachelor's Degree in Architecture, Real Estate, Interior Design, or related field is preferred
Familiarity with office utilization, office design principles and trends such as hybrid work, design for attendance and occupancy sensors
Attention to detail and accuracy - particularly numbers and spatial creativity
Ability to tell a story through data by gathering and analyzing data in a clear and concise manner to project teams
Proficient in excel and power point
Proficiency in AutoCAD and FMS are desirable
