Purpose of Position

The Leave of Absence Specialist will oversee, administer, and coordinate statutory, company-provided leave requests, and leave accommodations requiring specialized attention, particularly those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state and local leave laws, and short-term or long-term disability plans in addition to any leaves available under FlightSafety policy (e.g. personal, military, and, workers compensation).

Tasks and Responsibilities

Communicates with employees via phone and email, as the primary point of contact, regarding employee's need for statutory or company-provided leave and/or leave accommodation requests to ensure complete and timely conveyance of leave information and to ensure human resources business partners (HRBPs), managers, employee relations, Benefits, and Payroll are notified following appropriate procedures.
Provide end-to-end case management and consultative support to employees and managers with absence management, while ensuring a strong culture of connection and empathy.
Serves as the liaison between the employee, leave plan administrator, manager and HR Partner regarding their need for leave and/or modified work schedules. Ensures that employees are aware of their responsibility to open a disability or FMLA claim with the leave plan administrator and the documentation required.
Responsible for compliance with all statutory notices to employees including complying with FMLA, state and local requirements
Administers the return-to-work process including the timely and accurate entry of return-to-work dates into the HRIS system, coordinate LOA extensions, leave accommodations, and return-to-work documentation, while partnering with business leaders and HR as needed
Conducts vendor and HRIS audits to ensure accuracy of LOA records and resolves discrepancies in a timely manner
Identifies gaps or opportunities for improvement to the leave of absence process and recommends solutions
Collaborate on the creation of internal documentation to enhance the team member experience.
Coordinates initial activities between the employee and employee relations for any leave accommodation requests under federal, state, and local leave and under company policy, including but not limited to accommodations requested under the ADA and state disability leave acts.,
Serves as a liaison between internal partners and outside vendors to ensure injuries and incidents are reported and Workers Compensation claims are timely reported and processed through completion
Advises managers and employees on the intersection and coordination of leave laws with any available paid time off benefits, workers compensation, short and long-term disability benefits, state temporary disability insurance, and state dependent leave insurance; works in cooperation with Risk Management for the transfer of any information/reports for workers compensation claims
Creates and maintains a dashboard for tracking of all leaves by entity, service area, and program and communicates regularly withleadership and internal partners on the status of all cases
Coordinate with Payroll the usage of paid time off, disability and/or other pay types to ensure accurate and timely pay
Communicates with employees, Payroll and Benefits to ensure benefit deductions are received and updated appropriately
Maintains knowledge of all applicable leave and accommodation laws by attending webinars/seminars and staying current with literature review to provide accurate information to employees and to ensure proper coordination of leaves around any available wage continuation benefits offered through company-provided benefits or through available state insurances
Drafts and/or recommends revisions tocompany leave policies to ensure compliance with federal, state, and local laws and regulations in conjunction with direct management and Employee Relations
Understands and complies with terms and conditions of collective bargaining agreementswithin a unionized environment including adherence to administering leave processes, etc.

Minimum Education

High school diploma or equivalent; bachelor's degree in human resources or related field preferred

Minimum Experience

Three (3) to five (5) years' experience administering and processing statutory federal, state, and local leaves in multi-jurisdictions (federal, state, local) and administering company-provided leaves
Completion of specialized certification or training on FMLA/statutory leave administration a plus

Knowledge, Skills, Abilities

Demonstrated strong knowledgebase of statutory leaves with the demonstrated ability to research new statutory leave requirements as they emerge from federal, state, and local legislative acts, laws, and ordinances
Demonstrated knowledge and administration of workers compensation claims in multistate jurisdictions
Demonstrated ability to work effectively as part of a team
Ability to work in a fast-paced environment and manage and prioritize multiple, often competing, priorities
Demonstrated strong attention to detail
Demonstrated strong time management and organizational skills
Demonstrated excellent judgment with the ability to independently solve problems and make decisions with little or no need for direct supervision
Demonstrated ability to anticipate future needed changes or identify problem areas and take effective actions
Must possess excellent customer interaction, collaboration, presentation, and written and verbal communication skills
Demonstrated intermediate proficiency with Microsoft Office applications, including Word, Excel, Outlook and PowerPoint; report-writer experience preferred
