Purpose of Position

We are seeking a highly skilled and professional Executive Administrative Assistant to provide administrative support to our Executive Team. The Executive Administrative Assistant must be confident and a team player who enjoys working within an environment that is collaborative, results-driven and community oriented. The Executive Administrative Assistant is responsible for managing a wide range of responsibilities. This role requires exceptional communication skills, organizational skills, strong attention to detail, and the ability to handle sensitive and confidential information with the utmost discretion.

Tasks and Responsibilities

Works closely and effectively with the Executive Management Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately.

Effectively communicate, manage, and anticipate the executive's needs and business priorities.

Ensure the executive is prepared for upcoming appointments by gathering materials necessary for each meeting.

Manage an extremely active calendar; schedule appointments and coordinate meetings for executives.

Screen incoming calls, emails, and correspondence; prioritize and respond as necessary.

Prepare correspondence, compile reports, create and modify presentations and spreadsheets.

Maintain confidential department records and files.

Plans, coordinates, and ensures the schedules are followed and respected.

Handle sensitive and confidential information with the highest level of discretion.

Organize and arrange all travel itineraries and accommodations for the executive's business travels.

Prepare and complete invoices and expense reports.

Maintain and manage confidential and time sensitive material and matters.

Work with the other Executive Administrative Assistants to provide whatever assistance needed.

Minimum Education

Bachelor's Degree preferred

Minimum Experience

Minimum of 6-7 years administrative support experience supporting C-Level Executives.

High level of comfort and professionalism with assisting executives.

Proven ability to effectively interact with employees at all levels within the organization.

Proactive approach with ability to anticipate and prioritize.

High degree of initiative demonstrating self-motivation and ability to work independently.

Excellent verbal, written, typing, grammar, and communication skills.

Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly

Excellent attention to detail.

Very strong interpersonal skills with the ability to build relationships with stakeholders, including staff, and external partners.

Demonstrate proactive approach to problem-solving with strong decision-making capability.

Demonstrate the ability to achieve high performance goals and meet deadlines in a fast-paced environment.

Forward thinker, who actively seeks opportunities and proposes solutions.

Skilled in Microsoft Office (Word, EXCEL, PowerPoint, Outlook), and Concur

Knowledge, Skills, Abilities

Knowledge of principles and processes for providing excellent customer serviceProficient in all MS Office applications including Word, Excel, PowerPoint and Outlook.
Excellent interpersonal and written communication skills to support effective cross-functional collaboration and relationship building.
