Overview
SUMMARY OF POSITION
As a member of the executive team, this individual will organize and coordinate the activities of an assigned Executive and will support other executive-level activities.

JOB REQUIREMENTS
College degree and/or business/secretarial programs preferred
5+ years administrative experience preferably with the executive level
Professional phone skills and discipline is required for directing calls to the proper individual or department along with professional attitude and appearance representative of the position and the corporation
Personal computer and dictation skills are required for preparing a variety of reports and correspondence
Strong organizational skills required for updating and maintaining the executive filing system, planning, and setting work priorities
Strong language and grammar skills
Strong word processing skills and knowledge of Office Software required
Demonstrated success in maintaining a very high level of confidentiality at all times
Must have the ability to handle multiple tasks, be adept at handling ever-changing priorities, and possess the ability to work under pressure in a fast-paced environment with little or no supervision
Flexibility in work schedule with the ability to work overtime as required with little or no notice
Excellent memory and attention to detail and accuracy in work along with patience with repetitive tasks
PHYSICAL DEMANDS
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
Ability to work in front of a laptop or PC workstation for extended periods of time
Occasional standing, sitting, walking, and talking on the phone
Schedule flexibility to include weekend and after hours workload.
WORK ENVIRONMENT
This is a fast-paced heavily office related position, and includes a work environment with consistent pressure to complete duties as outlined above which requires ability to manage multiple projects at a detailed level. Many duties listed above are time-sensitive and have strict deadlines for completion.

Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES (other duties as assigned)
Performs varied administrative duties supporting Executive Staff as needed including online expense report administration and reconciliation along with handling personal issues as requested
Demonstrates diplomacy and judgment managing high-level contacts and exposure to sensitive information
Provides guidance and developmental assistance on administrative procedures
Arranges meeting refreshments
Facilitates and coordinates work and information flow using knowledge of the organization and its processes
Maintains executive schedules, meetings, and appointments, and makes travel arrangements as needed.
Supervises the activities of the Office Services Assistant.
Manages multiple priorities with professionalism and creativity.
