JOB PURPOSE STATEMENT
The Student Success Center at Shawnee State University is looking for a Full-time Department Administrative Assistant I. This position provides appropriate fiscal, clerical, and office support to the Student Success Center administrators and all activities within the Student Success Center, including but not limited to tutoring and supplemental instruction, testing, and orientations. In addition, this position supervises the front desk of the Student Success Center and the front desk student employees.

Principal Duties and Responsibilities

FUNCTIONS:

  1. Provides support to Student Success Center administrators.
  2. Supports all of the activities within the Student Success Center.
  3. Supervises the front desk and front desk student employees. 
  4. Perform other duties as assigned by the Director or Assistant Director of Advising and Academic Resources.
DUTIES AND RESPONSIBILITIES:
  1. Provides support to Student Success Center administrators.
    1. Providing clerical support in the form of completing needed paperwork, maintaining records in applicable systems used by Shawnee State University, running reports for administrators and other stakeholders, and other needed clerical work as assigned.
    2. Maintain office calendar and schedules meetings and appointments as needed.
    3. Screen incoming calls/mail and, as appropriate, provide requested information, record messages, or redirect inquiries to the appropriate person.
    4. Must have extensive knowledge of Shawnee State offices, policies, procedures, and processes in order to assist students, parents, faculty, community members, and other stakeholders who walk-in or call the Student Success Center for help.
    5. Handle fiscal responsibilities in accordance with SSU policy and procedures in the form of coordinating supply orders and purchasing needs, preparing and coding invoices for payment, ensures supervisory approval, deposits funds and maintains records.
  2.  Supports all of the activities within the Student Success Center.
    1. Works with the testing coordinator to maintain the appropriate systems, ordering needs, learn how to start and proctor tests (placement, CLEP, make-up testing, etc.) on an as needed basis. 
    2. Supports tutoring and supplemental instruction by completing needed paperwork and helping the Assistant Director of Advising & Academic Resources maintain appropriate systems used in tutoring and supplemental instruction.
    3. Sets up the student check-in systems daily and provides reports to the necessary stakeholders.
    4. Ensures that the Student Success Center has a welcoming and friendly atmosphere, maintains the board at the entrance and the hallway display, and making sure any custodial and/or maintenance issues are reported and resolved.
    5. Supports the Student Success Center during orientations, some Saturdays may be required.
    6. Must maintain confidentiality according to FERPA guidelines.
    7. Opens the office at 7:30am Monday-Friday during the fall and spring semesters and at 8:00am during the summer and during breaks.
  3.   Supervises the front desk and front desk student employees. 
    1. Ensures that he front desk is always monitored and that students, parents, faculty, community members, and other stakeholders who walk-in or call-in are provided with accurate and timely information and avoiding the shuffling of students from office-to-office.
    2. Problem solves issues that students and others come to the front desk with or call in and make appropriate referrals when necessary.
    3. Coordinates student employment (i.e., reviews applications & schedules interviews; completes paperwork for hires; maintains work schedules; trains job duties/office expectations, coordinates student employee meetings and communication with student employees, ensures proper completion of timesheets, and maintains other systems used for student employment).
    4. Make sure that student employees maintain confidentiality according to FERPA.
    5. Processes student payroll and handles student timesheets.
    6. Supervises the front desk workers, coaching them and providing needed direction as well as handling minor disciplinary issues (i.e., excessive absences, not completing required duties, customer service issues, etc.).
  4.   Perform other duties as assigned by the Director or Assistant Director of Advising       and Academic Resources. 

 

Minimum Job Knowledge, Skills and Abilities

MINIMUM JOB KNOWLEDGE, SKILLS, AND ABILITIES:

  1. Must be an above-average problem solver. 
  2. Ability to type at acceptable levels of speed and accuracy.
  3. Skilled in verbal and written communication, including the use of correct grammar, punctuation, and spelling.
  4. Proficient in computer skills (i.e., Excel, Access, Word, tracking software programs).
  5. Ability to work independently with complex systems in a fast-paced and dynamic environment.
  6. Strong organizational skills necessary.
  7. Relates with students and is able to deal with unique needs in a kind and courteous manner.
  8. Demonstrates understanding of confidentiality.
  9. Knowledgeable of FERPA regulations.
  10. Demonstrates respect for all individuals.
  11. Good filing, record-keeping, and analytical skills.

 

Minimum Qualifications

 MINIMUM QUALIFICATIONS (EDUCATION AND EXPERIENCE):

  1. Some college or post-secondary education or credentialing and 3 or more years of work experience.
  2. Two or more years of experience working with college students or young people in an academic or counseling setting.
