Position Summary




Under the direction of the Scheduling Manager, supports the collections operations team by assigning staff their work hours and locations.



Responsibilities




Produce timely and accurate schedules for the collection operations team in an efficient manner, including the balancing of staff hours supporting efficient donor flow, for both the fixed site and mobile operations.

Processes scheduling office communication requests including, but not limited to, schedule adjustments, call offs/sick calls and management requests. Including adjustments needed to cover vacated spaces due to absence or approved requests.

Processes time off requests, and maintains the time off wait list - working in conjunction with Payroll/Admin Assistants/Operations Management to coordinate time off for staff.

Maintains staff assignments/details (location preferences, skills, demographics) to ensure proper scheduling occurs.

Maintains competency in navigating and utilizing the computer scheduling program, Hemasphere.

Participates in on-call rotation at designated intervals; each on-call rotation will typically be 7 days (Monday Evening - Monday Morning) on followed by an off period of at least 7 days.

Contributes to process improvement with particular emphasis on enhancing and streamlining scheduling process, including assessment of scheduling system/design.

Participate in continuous improvement as it applies to resource planning and productivity.

Coordinate and communicate operations and resource changes to appropriate departments.

Other duties as assigned.

Qualifications




Education
High School Diploma or general education degree (GED) required

Associate's Degree business administration (or related field) preferred

Bachelor's Degree business administration (or related field) preferred

Experience
1-3 years scheduling experience preferred

Knowledge, Skills and Abilities
Possess high developed oral and written communication skills.

Ability to communicate effectively with management team.

Ability to participate and collaborate as a team member.

Ability to write basic correspondence.

Ability to do basic math and apply common sense understanding to carry out instructions.

Ability to work independently with minimum supervision; multi-task; work with confidential information.
