Position Overview






To provide advanced administrative and operational support to multiple Executives and their teams.

Job Responsibilities







Performs diversified and highly confidential operational support activities for the Executives and teams they support
Partners with CIO and CLO offices to support communications, interface with vendors as first point of contact, coordinate interests across teams while tracking deliverables and providing concise executive summaries as required. This could include Microsoft Powerpoint, Excel or Word Takes hands on direction from the CIO/CLO and deliver relatively independently for any assigned tasks or duties
Serves as a partner to both executives and serves as an active member of their respective Leadership Teams (tracking action items, meeting minutes, represent Executives when absent)
Coordinates at times, and as needed with vendor management office, to assure PO, on time payment, Vendor 360 views of our suppliers and help manage the calendars, schedules and interactions
Supports townhalls, team events and external engagements with hands on coordination, leading communications, and overall could act as single point of contact and liaison to assure quality of team and leadership events
Drafts presentations, correspondence and reports of a highly sensitive nature that require minimal change
Manages calendars and collaborates effectively with others to coordinate cross-company scheduling needs in a fast-paced global environment
Arranges for document signatures using DocuSign or similar platforms, facilitating efficient approval processes for project-related documents
Leads medium complexity/important projects and/or participates in highly complex/important special projects, often requiring high attention to detail
Arranges meetings and teleconferences (on- and off-site, including global meetings and special events). Plans multiday meetings with out-of-town guests. Includes venue selection, overall management, and execution throughout the event, while aligning to travel, expense and budget guidelines
Arranges complex and detailed domestic and international travel arrangements
Prepares and processes expense reports
Collaborates effectively with cross-functional (division and corporate) assistants and participates as an active member of the Administrative Team
The ideal candidate would have awareness, skills, and a willingness to learn Microsoft, Apple phone and basic troubleshooting skills to support our ELT/SLT for basic mobility needs. Create proactive help and guidance communications and video material

Minimum Qualifications







Minimum of 7 years of experience as an executive-level assistant or comparable coordinator. The ideal candidate may have held IT support or worked with CIO office roles
Exemplary administrative skills including a thorough knowledge of standard office procedures and proper protocols, as well as departmental organization and reporting structures, etc.
Proficient in Microsoft Office (Outlook, Word, Excel, SharePoint, and Power Point), Adobe Acrobat. Advanced skills in Excel strongly preferred
Demonstrated exceptional written and oral communication skills
Proven track record and experienced in handling confidential information
Flexible to work extended hours as projects required, overtime may be required
Proven skills in handling multiple tasks simultaneously
Associates degree or comparable related business experience and/or training or equivalent combination of education and experience. Bachelor's degree preferred

Preferred Qualifications:


Experience in a high-volume/fast-paced corporate environment
Event planning and administrative management experience strongly preferred
Knowledge of Concur and SAP
Knowledge and experience with Microsoft Teams, Outlook, some basic troubleshooting and supporting senior leaders as first point of contact
Budget management experience
