If you consider yourself a multitasker & problem solver aiming to grow your career within Office Administration/Management, then our Executive Administrative Assistant opportunity will provide you with a fulfilling position allowing you to work with leadership and project teams to support NV5's Owner's Representative group.

We are looking for an experienced Executive Administrative Assistant to offer top-tier support to the Senior Vice President of NV5's Owners Rep Group. The ideal candidate will be meticulously organized, detail-oriented, and possess outstanding communication skills. This role demands a proactive individual capable of efficiently managing multiple tasks, particularly in areas such as communications, organization, human resources, and scheduling, . While the position will be based in Cleveland, OH, at the Solon, OH office, it will also support our Owners Rep's national presence.


Responsibilities




Key Responsibilities:

Effective Communication:

Facilitate communication between the Senior Vice President and stakeholders with impeccable written and verbal communication skills, ensuring clarity, professionalism, and timeliness in all correspondence.

Human Resources Support:

Contribute to fostering a positive work environment and supporting professional growth by assisting with human resource processes, including onboarding and employee relations.

Financial Reporting Acumen:

Provide support in financial reporting activities, demonstrating proficiency in financial data management and reporting processes to ensure accuracy and compliance.

Document Management Proficiency:

Exhibit meticulous attention to detail in crafting reports, presentations, and other materials, adhering to the highest standards of quality and professionalism.

Administrative Excellence:

Serve as a dependable resource, providing comprehensive support to the Senior Vice President and the wider team in administrative tasks, including correspondence management and file organization.

Efficient Coordination:

Demonstrate exceptional organizational skills in managing the Senior Vice President's calendar, adeptly scheduling appointments, meetings, and travel arrangements with precision and foresight.

Other Responsibilities include:

Assist with organization and administration of office operations.
Assist with Invoicing & Accounts Receivable.
Interface with Accounting and Corporate groups.
Interface with Owner's Representative Group/ Project Managers and staff.
Coordinate events including team meetings, client meetings, etc.
Time sheet review and auditing.
Order and Maintain kitchen and office supplies
Will be handling time sensitive and confidential materials


Qualifications





Qualifications:

If you possess the following experience & qualifications, then we would love to learn more about you!

5+ years of office administration experience.
Experience with Accounts Receivable & Accounts Payable.
Construction, Engineering, or related industry experience is preferred.
Proficiency with Microsoft Suite tools (Word, Excel, PowerPoint etc), Bluebeam, experience with Canva, Constant Contact and Social Media platforms preferred.
Deltek Vision experience is a plus.
