Job Description

New Bethel Baptist Church is seeking to hire a Church Secretary.

 

Primary Function: Carry out the clerical functions of the church office which includes maintaining strict confidentiality, serving as the centralized information source for the church, assisting the Pastor, and maintaining accurate church records.

Equipment and Tools: Computer, printer, telephone, copy machine, adding machine, automatic folder, binding machine, fax machine, working knowledge of computer programs (Excel, Word, Power Point, Publisher)

Supervisor: Administrative Assistant

Supervisory Responsibility in the absence of Administrative Assistant: Supervise Custodian, Vantage workers, and volunteer workers

 

Regular Duties:

Maintain Church Calendar of Events

Typing letters, reports, presentation material, lists, programs, memorandums, committee minutes, forms, condolences, resolutions, etc

Maintain Prayer schedule and Welcome schedule

Create church weekly bulletin, early morning programs, bulletin inserts, special event programs and funeral bulletins

Create reports for church Executive Board meeting

Weekly input of member contributions (weekly offerings, Givelify)

Substitute for Church Clerk as needed

Answering phones and / or greeting guests, answering questions, forwarding information to appropriate persons

Maintain inventory, coordinate the ordering of office supplies with Administrative Assistant

Maintain supply of all church forms for ministries and members

Receive all church mail, date stamp and distribute appropriately

Maintain all church catalogues (organized and accessible)

Maintain files for: church ministries, church bulletins, funeral information, condolences, community agencies, etc

Maintain vendor files

Coordinate the preparation of documents, agenda and material for official church meetings (Executive Board Meetings, Church Conferences)

Assist Pastor in planning and coordinating funerals, weddings, baptisms, special projects

Other duties as assigned

 

Requirements:

Must have High School Diploma or Equivalent

Must be proficient in Microsoft Word, and Excel (related office experience preferred)

Must have valid Driver’s License

Must be able to pass a driving record check

Must be able to pass a reference and background check

Must be able to pass a drug test

 

Additional Details:

Days: Monday, Tuesday, Wednesday, Thursday, and Friday

Hours: 8:00am – 4:00pm

Yearly Salary: $21,632

Benefits: Health Insurance, Sick Leave, and Vacation
