Executive Director
SPECIFIC RESPONSIBILITIES
Grant Management
- Schedule meetings, publish notices, accept and review all grant applications
- Provide up-to-date information and summaries of all grants made and/or initiate any follow-up action that may be needed.
- Notify all grant petitioners by letter in a timely manner of their success (including a check if required) or having been declined.
Financial
- Continually monitor assets to ensure preservation of principal.
- Provide monthly financial reports as well as Investment Performance reports prior to any scheduled meeting.
- Communicate as needed with the CPA and provide quarterly ledger reports for adjusting entries as needed.
- Compute payroll, prepare and file payroll tax reports to federal, state and local governments as legally required.
- Perform all accounting functions consisting of maintaining accurate financial records in the areas of receipts and disbursements, producing up-to-date general ledger and Balance Sheet reports.
- Reconciliation of monthly investment/brokerage reports making appropriate entries into the accounting records
- File federal, state and city income tax returns as well as preparation of W-2’s as needed. Providing information to CPA for preparation of any 1099’s as required by law as well as information needed to file the foundation’s 990.
- Close working relationship and serve as liaison and responsible party to brokerage and custodial entities regarding accounts and their services as needed
- Prepare annual budget for presentation and follow the budget parameters as set throughout the year.
- Issue checks as needed for payment of expenses and record in the general ledger.
Legal/Government/Foundations
- Board-based knowledge of government regulations regarding grant-making and responsible for compliance with all government laws and regulations.
- Maintain relationships and be aware of changes and trends in programs and management.
OTHER RESPONSIBILITIES
- Prepare AGENDA and support materials for all meetings.
- Maintain the physical location in above standard condition
- Maintain all files and records.
- Prepare and distribute minutes of the meetings within one week of the meeting.
- Attending public functions as needed.
- Perform any special projects as requested.
