Job Overview: The Purchasing Clerk assists the Purchasing Manager with order placement, vendor communication, inventory management, and purchasing documentation across multiple departments. This role supports efficient procurement, reconciles inventories, ensures purchasing records are accurate, and facilitates effective interdepartmental communication.

Objectives:


Ensure timely and accurate purchase order placement for ISG, CC, MPC, and Administration.
Maintain strong relationships with vendors through responsiveness and follow-ups.
Maintain organized and accurate purchasing records and documentation.
Collaborate with internal departments to manage inventory levels and address purchasing needs.
Ensure purchasing system accuracy through inventory reconciliation and timely data entry.

Responsibilities:

Purchasing


Place purchase orders for multiple departments.
Review Planned Purchasing daily to identify current or potential inventory issues.
Maintain strong vendor relationships by responding to communications and following up on order statuses.
Work with departments (accounting, customer service, maintenance) to maintain appropriate inventory levels.
Process invoice corrections or adjustments as needed.
Maintain accurate purchasing files in F&O Microsoft Dynamics, email, and hard copy formats.
Reconcile monthly corporate credit card statements and submit business-related expenses for approval.

Materials Management


Conduct scheduled reconciliation of on-site inventories (chemical, aluminum, high-priority raw materials).
Reconcile off-site warehouse inventory weekly and maintain strong off-site personnel relationships.
Input stock transfers into F&O Microsoft Dynamics in a timely manner.

Quality Systems


Obtain vendor samples for testing as needed.
Request and compare quotes for new or existing products.
Coordinate internal feedback on products requiring evaluation.

General


Maintain reliable attendance and punctuality during operating hours.
Communicate effectively across departments and with external vendors.
Demonstrate initiative in finding solutions and responding promptly to inquiries.
Utilize Word, Excel, and ERP systems proficiently.

Qualifications

Qualifications:


Experience with purchasing or supply chain processes preferred but not required.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Word, Excel, and ERP systems (F&O Microsoft Dynamics preferred).
Excellent communication and interpersonal skills.
Ability to multi-task and manage priorities in a fast-paced environment.

Physical Requirements:


Ability to sit at a computer and work for extended periods.
Occasionally lift or move materials or files up to 25 pounds.
