HR Analyst, Shared Services

About the Job

The HR Analyst supports the HR Shared Services team by producing HR compliance data and audits, creation of Affirmative Action analysis as well as government data reporting. The candidate will analyze the data from Cloud HR System, identify issues and work with the appropriate team members to ensure the data is corrected. Along with HR Cloud data, candidate also analyzes applicant data coming from internal and external sources. The position will also work to continuously improve our processes and support the evolving use of the Cloud HR System functionality. This position will be required to complete compliance related duties in accordance with company policy or laws.

Because this role involves access to confidential financial information, the Company has determined that a review of criminal history is necessary to protect the business and its operations and reputation and to provide similar protections for its clients and potential investments

CORE RESPONSIBILITIES AND TASKS

AFFIRMATIVE ACTION PLANS (AAP)

Work on quaterly data processing to produce quaterly Affirmative Action Plans (AAP) analysis in timely manner and accurately.
Create annual and other requested AAP's accurately and in a timely manner.
Create reports and complete required analyses using appropriate software: file all agency reports as required; and review and interpret data and results to identify deficiencies, problems, trends and regulatory risk accurately and timely.
Audit recruitment, applicant flow, hire, promotion, termination and employee data record keeping and collection processes, procedures for appropriateness, consistency with regulatory requirements, and uniform and consistent application; identify and report on problems and deficiencies and initiate action to correct and improve processes and data quality.
Extract, prepare and compile employment activity and compensation data for various reporting and analytical purposes; create reports and complete statistical analyses using appropriate software: review and interpret data and results to determine goals progress and, to identify deficiencies problems, trends and regulatory risk.
Prepare the required components for the federal and state affirmative action program using a vendor software program. This includes the establishment of placement goals, reviewing the adverse impact of hires, promotions, and terminations.
Working on government audits, review and interpret data and results to identify deficiencies, problems, trends and regulatory risk accurately within audit deadline.
Manage vendor and Center of Excellence relationships.
Partner with Business Process Improvement team to identify and enable solutions to support AA improvements.
Stay abreast of legal and/or regulatory changes and adjust our processes, data, analysis and reporting as necessary.
Serve as HR Shared Services project manager for audits and respond to other information requests as needed. Partner with Employee Relations and field HR to respond to audit requests.
Design and deliver training as needed related to affirmative action topics.
Import data to BalanceAAP (AAP software) or other systems accurately with the least amount of manual intervention possible.
Analyze and update HR data to ensure integrity relative to fields that impact AAP's.
Review data for local and state requirements and adjust data processing to meet needed laws

COMPLIANCE DATA AND REPORTING

Extract, prepare, and compile employee data for various reporting and analytical purposes including, but not limited to, EEO-1 report, VETS-4212 report, and various state level reporting and requests.
Ensure additional compliance activities identified to be moved to HRSS are documented.
Compliance auditing on work structure including department, location, job tittle and exempt status and working with appropriate teams to make updates and help understand impact.
Completion of variety of DOL (Department of Labor) and BLS (Bureau of Labor Statistics) requests.
Assist with compliance notices
Support Circa vendor relationship and support job board postings
Maintaining good standing with state job boards

HR DATA ADMINISTRATION

Assist with data governance improvement projects with applicable/appropriate teams
Prepare and deliver metrics as applicable to HR data upon request from leadership/Employee Relations
Provide consultation to HR team members on attributes to HR data to ensure the correct values are used in Cloud to drive accurate AAP reporting.
Identify ways to systematically collect and integrate recruitment and other data from various sources.
Assist with other Shared Services and Compliance initiatives as requested.



STANDARDIZATION AND PROCESS IMPROVEMENT

Analyze tasks identify process improvements. Update SOP's as processes and business needs change.
Work with Employee Relations to ensure compliance in all areas related to AAP's and identify and address improvement areas across the divisions in their current processes.

POSITION REQUIREMENTS

FORMAL EDUCATION:

Required:

Bachelor's Degree in HR, Business, Data Analytics or a related field

KNOWLEDGE & EXPERIENCE:

Required

2+ years of experience in HR Analytics, compliance reporting, affirmative action planning, or related business work.
Demonstrated computer skills, specifically with running reports and queries on large amounts of data
In-depth knowledge and demonstrated expertise in using Microsoft Excel including proficiency in creating Pivot Tables and Macros with strong analytical and conceptual skills
Demonstrated knowledge of basic analytics
Ability to interpret results, identify outliers and developing action plans to address them
Demonstrated ability to work with all levels of management
Ability to communicate and influence effectively at all levels of management
Exceptional attention to detail and accuracy
Strong problem-solving skills
Adaptability to change
Detail orientation with strong critical thinking
Desire to continuously improve processes and systems
Demonstrated skill in project management

Preferred: (may indicate preferred certifications such as PHR/SPHR):

Previous experience developing Affirmative Action Plans
Knowledge of the Balance AAP or other affirmative action planning software
Experience working with an HR Could system
HR professional certification
