Job Description: Administrative Assistant

Provides comprehensive administrative support to all levels of the organization. 

Responsibilities:

  • Provide confidential administrative support for the CEO.

  • Implementing quality assurance systems, conducting audits, analyzing data, and identifying areas for improvement.

  • Assist with managing project timelines for multiple personnel on several concurrent projects.

  • Follow up with staff members on assignments and projects on behalf of the CEO.

  • Data entry to update and maintain spreadsheets and organization programs.

  • Coordinate annual inspections, scheduling repairs and maintenance.

  • Support outcome measurement systems.

  • Assist with meeting preparation

  • Handle follow-up verbal and written communications acting as liaison.


Essential Functions of the Position:

  • Ability to work in a multidimensional work environment

  • Ability to work from all program sites located in Coshocton, Licking and Muskingum Counties.

  • Ability to use web based conferencing.

Requirements:

  • Demonstrable analytical thinking & business insight.

  • Ability to communicate clearly and courteously in person and on the telephone. 

  • Ability to multitask. 

  • Ability to meet established typing requirements. 

  • Must have the ability to maintain highly confidential information. 

  • Ability to organize and prioritize duties. 

  • Ability to operate various office equipment including copiers, fax machines, TDD, shredders, postage meters, etc. 

  • Must be able to sit and work at a computer for four hours at a time. Must be able to lift 25 lbs.


Conditional Requirements:

  • Bureau of Criminal Investigation background check must result in no felony record. 

  • Must be able to pass pre-employment drug screen.

  • Must have reliable transportation, a valid driver’s license, acceptable driving record, and automobile insurance.

  • Able to move/lift office supplies and equipment required for day-to-day operations.

  • High school diploma or GED. Associate’s degree preferred. Equivalent work experience may be substituted for part of the educational preferences. 

  • Strong computer skills including experience with Microsoft Word, Excel, Access, etc. 

  • Possession of valid Ohio Driver’s License and ability to meet driving standards. Must have reliable transportation for routine and emergency situations. 

  • Meet security requirements.
