Job Description

Total Line Refrigeration, a Smart Care company, is seeking a Parts Specialist to support our field technicians and clients by managing the procurement of parts and supplies, as well as assisting with inventory and warehouse operations. In this role, you'll play a critical part in ensuring our service team has what they need to deliver reliable, top-quality service to our preferred customers.
Key Responsibilities:

Procurement & Order Management:

Order parts for field technicians by reading source documents, verifying order accuracy, and entering data into company systems.

Process local order pick-ups and ensure items are placed on WILL CALL promptly.

Administrative Support:

Prepare and maintain accurate administrative documents such as parts order forms, quote sheets, work orders, receipts, and inventory records.

Maintain logs and documentation of daily activities and completed tasks.

Identify and correct data entry errors, or escalate to supervisor as needed.

Shipping & Receiving:

Receive and label all truck freight shipments (where applicable by location).

Check in daily UPS/FedEx deliveries and communicate relevant updates to Regional Service Managers.

Inventory & Returns Management:

Monitor the warranty board daily for new returnable parts and submit RMA requests.

Coordinate with operations bi-weekly to ensure all warranty and unused parts are returned to vendors or manufacturers for credit.

Safety & Compliance:

Follow all company safety policies and accident prevention procedures.

What You Bring:

Strong organizational and multitasking skills.

Excellent attention to detail and accuracy in data entry and documentation.

Familiarity with parts ordering systems and logistics (preferred but not required).

Ability to work both independently and collaboratively with cross-functional teams.

Commitment to providing exceptional internal customer service to field technicians and service managers.
