Department: Adult Opportunity Center Position: Office Assistant
Reports to: Director of the Adult Opportunity Center
Hours: Part time
Program Summary: The Adult Education program offers ABE, ASE, and HSE classes, levels 1-6. The program works with several partners to offer basic literacy, GEDTM" preparation, workforce training and job opportunities, college readiness, and post-secondary options.
Position Summary: The Office Assistant will be responsible for meeting student and staff needs and maintaining a warm and welcoming environment.

Essential Duties and Responsibilities:
  • Complete all required SSCC and Aspire professional development trainings in a timely manner
  • Maintain confidentiality by taking extra security precautions with PII while following FERPA regulations
  • Provide assistance to students and staff as needed
  • Facilitate communication among students, instructors, and the director
  • Refer participants to appropriate social service agencies as need is identified
  • Prepare and maintain program records and files
  • Assist in creating and/or updating forms, reports and policies
  • Maintain electronic files, class schedules, and staff manuals
  • Answer phone calls and emails
  • Inventory supplies and create needs lists
  • Distribute practice test vouchers to students and prepare assessment materials
  • Complete training for orientation of new students
  • Prepare for and participate in Staff Enrichment Meetings
  • Attend recruitment events
  • Participate in continuous improvement activities
  • Assist with and participate in the annual Recognition Ceremony
  • Promote both the Aspire Program and Southern State Community College within the community
  • Assist with other duties as assigned by the Director
Qualifications:
  • Associate’s Degree in Education or Business or acceptable level of office work experience
  • Ability to prioritize tasks
  • Excellent computer skills, including Microsoft Office software
  • Excellent oral and written communication skills
  • Strong proofreading skills
  • Proficient using general office equipment
  • Outstanding organizational and clerical skills
  • Attention to detail
  • Good interpersonal skills
  • Pleasant personality and willingness to help

Student and other information covered by FERPA guidelines and agreed to in the College's FERPA Confidentiality Agreement; and all other non-public sensitive records.

Equipment Operated:
Computer; printer; scanner; copier; calculator; telephone; and other standard office equipment.
