Description

The Specialist, Mail Services is responsible for the pickup and delivery of mail, maintenance supplies, and various items received from FedEx, UPS, and other vendors on behalf of the College. Duties include distributing interoffice mail and Office Services orders to all departments and campus buildings for faculty and staff. The position also assists with receiving incoming freight shipments and coordinating the delivery of large items with departments and facilities personnel. Additionally, this role provides support in the Bookstore and Office Services Center as needed. Responsibilities are carried out across all campus locations.

Shift: Monday - Friday; 8:00am - 5:00pm. Evenings and weekend, as needed.
Location: All College Locations

This position is not eligible for telecommuting.

  • Picks up mail each morning at the Springfield Post Office and delivers mail and/or maintenance supplies to required locations at least once daily to offices on the Leffel Lane campus, 3–5 days per week to the downtown and Greene Center locations, and on an as-needed basis to the Ohio High Point (Bellefontaine) and Xenia locations.

  • Collects and distributes U.S. mail and interoffice mail to all departments in a timely fashion.

  • Assists in the receiving of freight shipments, coordinating delivery with departments and facilities personnel.

  • Receives incoming shipments (i.e., UPS, FedEx, Amazon, etc.) and processes Office Services orders, delivering items to the appropriate departments.

  • Prepares outgoing USPS first class, pre-sort, international, express, certified, and registered mail.

  • Runs outgoing mail through the postage meter at the end of each business day and delivers it to the Post Office.

  • Prepares outgoing packages for shipping via UPS.

  • Processes and tracks all paperwork required to maintain sufficient funds for all postage accounts at the post office.

  • Monitors postage levels in the postage meter and notifies the Director when additional funds need to be added (via check request).

  • Assists in the copy center, office services center, and bookstore as needed.

  • Performs all other duties as assigned by the supervisor.

Knowledge and Skills

Experience
Up to six months of similar or related experience. 

Education
A high school education or GED. 
Certificates, Licenses, and Registrations: Requires travel to multiple campus locations; a valid driver’s license and/or dependable transportation is required. Bondable in accordance with College bonding contract. 

Interpersonal Skills
Work normally involves contacts with persons beyond immediate associates generally regarding routine matters for purposes of giving or obtaining information which may require some discussion. Outside contacts take the form of service to the public (students, visitors or vendors) requiring ordinary courtesy in providing assistance and information. 

Other Skills
Ability to safely operate a motor vehicle and maintain a good driving record.
Ability to input data with a high degree of accuracy.
Ability to maintain effective working relationships with colleagues, the general public, and students.
Proficiency in operating postage machines and knowledge of postage regulations related to bulk mailing, certified mail, express mail, UPS, and FedEx.
Ability to operate a point-of-sale system and accurately balance daily receipts.
Willingness and ability to work irregular hours, including evenings.
Ability to work in various weather conditions throughout the year. 

Physical Requirements

The work requires moderate physical exertion such as long periods of standing, repetitively lifting lightweight objects with frequent bending or stooping, recurring lifting of moderately heavy items such as computer, printers or record boxes. Occasionally lifts heavy objects (over 50 pounds). Job requires average agility and dexterity. 

Work Environment

Occasional exposure to objectionable conditions or variations such as those found in variable weather conditions or light industrial settings.
