Your Opportunity as the Administrative Assistant

Be a catalyst for organizational effectiveness by enabling the FH&S and SBS R&D teams. In this role, your responsibilities go beyond a traditional administrative assistant role-owning critical work systems, driving process improvements, and building a culture of resourcefulness and innovation. While you'll handle some electronic systems-based work, you'll also need to be ready to step away from the desk-whether that means assisting on the dock, managing tasks in the Test Kitchen, or coordinating hands-on activities across R&D spaces.

Location: Orrville, OH

Work Arrangements: onsite, 4 days per week

In this role you will:

Lead and own key systems or portions of systems within R&D.

Become "super-user" for various systems (ex. purchase requisitions) and translate that knowledge to train others.

Serve as Safety/QA owner for certain lab spaces (ex. Test Kitchen), in addition to office areas.

Support and maintain documentation management for the department (e.g., policy understanding, seating chart, SharePoint organization, Records Coordinator duties).

Manage mail and shipment delivery/notification, including international shipments.

Coordinate R&D samples for shipment and/or events.

Assist with department meetings and events (Coffee Chats, Town Halls, etc.): scheduling, attendance, food orders.

Order office and uniform supplies as needed and assist with other ingredients and equipment ordering, as needed.

Organize personnel information (birthdays, work anniversaries) and acquire office equipment and supplies for new and current staff.

Provide budget support: monthly allocation, tracking missing/unknowns.

Perform data entry as needed.

Fill in for technician support as needed.

What we are looking for:

Minimum Requirements:

3+ years of administrative experience supporting large teams and/or leadership teams.

Strong organizational skills with ability to manage multiple priorities concurrently.

Exceptional communication skills (written & verbal via face-to-face, Teams, meetings, email, minutes, letters, etc.).

Knowledgeable (via self-teaching) and active user of specialty systems.

Intermediate to advanced knowledge/experience with Microsoft Office programs (Word, Excel, PowerPoint, Outlook, Teams).

Basic IT knowledge and support (e.g., troubleshooting conference room issues)

Experience handling confidential information with appropriate discretion.

Minimum 4 days in office presence.
