  • M-F 8am – 4:30pm
  • Occasional evenings and/or weekends

Position Summary:

Under general supervision, the WIC Support Staff 2 performs specialized clerical and administrative tasks for the WIC program, acts as an aide to the WIC Certifying Health professionals, and functions as part of the breastfeeding support team. Provides services in compliance with applicable program standards, state laws and rules, and Board of Health adopted policies and regulations.

 

Routine interaction with citizens, vendors, patients, patrons, and applicants requiring specific knowledge and tact in accordance with WIC program standards. This position is grant funded.

 

Essential Duties:

  • 25% - Acts as clerical specialist for WIC office in accordance with WIC program standards – greets clients, answers phones, responds to complex questions and troubleshoots participant/vendor issues; maintains files, appointment schedules, and clinic mailings; assists with completing paperwork and referrals to other agencies/providers to ensure efficient clinic flow and documentation. Answers questions and helps with problem resolution for Support Staff 1.
  • 25% - Interviews clients and obtains required information to help applicants though the eligibility and application process using established criteria and enters information into the computer system in accordance with WIC program standards while maintaining confidentiality in order to ensure quality and accurate determination and documentation of eligibility for WIC program. Answers eligibility questions and helps with problem resolution for Support Staff 1.
  • 25% - Informs clients of eligibility requirements, program benefits and clinic procedures and breastfeeding support services, and reviews participant rights and responsibilities in terms participant understands using established criteria to ensure participant comprehension.
  • 10% - Performs computer system functions within established deadlines by entering and updating data, looking up information to solve simple to complex problems/questions, interacting with State staff, and by generating reports in order to maintain compliance with WIC Program standards.
  • 5% - Aids voter registration procedures in order to comply with the National Voter Registration Act of 1993.
  • 5% - Collects participant immunization record information and obtains participant consent in order to share information for immunization assessment and referrals
  • 5% - Maintains office organization, supplies and performs routine equipment maintenance to ensure efficient clinic operations.
  • Orients and trains WIC Support Staff1s; acts as resource for Certifying Health Professionals and Breastfeeding Staff on participant intake and computer system functions.
  • 100% - Meets all job safety requirements and all applicable Public Employee Risk Reduction Program safety standards that pertain to essential duties. Demonstrates regular and predictable attendance.

Other Duties:

  • Responds to public health emergencies as appropriate and/or directed by the Health Commissioner
  • Contributes to continuous quality improvement of individual, program, and organizational performance
  • Occasional travel required; may need to use own vehicle
  • Other duties as assigned

Minimum Qualifications:

  • High school diploma or GED diploma, college courses in health fields, computer skills or related fields preferred, and a minimum of 2 years general office or clerical experience preferred, or an equivalent combination of education, training and experience. At least one year of WIC experience or STNA certificate and demonstrated computer and problem-solving skills required. Valid driver’s license with an acceptable driving record and proof of auto liability insurance coverage required.

Job Location: Primarily in WIC Office; within Allen County Combined Health District with occasional travel outside the county.

 

Work Environment:

  • Physical Activities - Climbing, reaching, standing, walking, lifting e.g. clinic supplies, use of fingers, talking, hearing, repetitive motions, pushing, pulling.
  • Physical Requirements – Moderate work, lifting up to 35 pounds occasionally.
  • Visual Activity - Close to eyes, Beyond arm’s reach.
  • Other Job Activities – Employee works inside with protection from weather conditions; employee is exposed to noise; may come in contact with blood/body fluids; busy clinic setting.
  • Special Equipment - General office equipment: PPE, Computer/Tablet, EBT card machine, Fax/Copier/Scanner; MARCS Radio, telephone, scale, baby scale, height/length board, hemoglobin measurement machine.
