Administrative Assistants fulfill a variety of responsibilities and administrative office support functions. This position supports the Engineering team. This position requires attention to detail and the ability to multi-task throughout the day. It requires consistent interaction various management team members, ensuring accuracy in all clerical functions and communication.

Responsibilities of Position:


Maintain and organize all incoming and outgoing correspondence, inspections, and permits using the Compliance Tracker system
Submitting regulatory reports to state and federal agencies by required deadlines (e.g., Compost and Tire Reports, Tier 2 SERC Reports, Annual Landfill and Transfer Station Reports, and permit/license renewals)
Assist with the preparation of internal compliance reports/statistics
Enter analytical data required for regulatory reporting
Assist with the Financial Assurance Requirement Process
Prepare and submit permit applications through regulatory portals (e.g., OEPA STREAMS, MSD,ODA)
Create and receive purchase orders in SAP and process invoices through Medius
Set up and manage new vendor accounts for all work groups
Support apparel ordering for departmental staff
Assist with the on-boarding process for new department employees
Assist with reconciling expense reports in Concur
Perform other duties as assigned to support the department

Skills & Abilities Needed for Position:


Strong organizational and multitasking abilities to manage multiple projects and deadlines
Consistently precise and detail-oriented.
Proficiency in data entry, database management, and business correspondence
Excellent written and verbal communication skills
Problem-solving skills and the ability to work independently with minimal supervision
Proficiency in Microsoft Office Suite, Adobe Pro, and SAP

Experience & Knowledge Needed for Position:


3-5 years of administrative/office experience in a fast-paced environment
Associate's degree in Office Administration or Paralegal Studies is required
Equivalent combination of education and relevant work experience may be considered
Notary Public certification preferred (or ability to obtain is required)

Additional Working Conditions/Aspects:


Exposure to residential and commercial waste.
Ability to travel between office, as required.
Legally eligible to work in the United States.
Valid driver's license (if applicable).
Must successfully complete pre-employment testing.
Must be able to read and speak the English language.

Associates of Paralegal Studies (preferred)
High School (required)
General Education Diploma (preferred)

Experience
Waste Industry Experience, a plus. (preferred)
3 years: Administration/Office Assistance experience (required)
