EarthPeak Solutions is an emerging company at the intersection of environmental technology and regenerative agriculture. We convert organic materials into high-value fertilizers and carbon-smart product, and we’re growing quickly. We’re looking for an Office Administrator who becomes the steady, reliable heartbeat of our office and production facility. This role keeps communication tight, schedules aligned, and the daily flow of operations running smoothly.
What You’ll Do
•Serve as the front-office lead. Answer phones, greet visitors, and keep communication flowing between drivers, factory personnel, and leadership.
•Coordinate inbound deliveries. Notify factory staff when drivers arrive, maintain logs, and help keep the production schedule on track.
•Support production and logistics. Track loads, gather and enter tare weights, and move accurate information into invoices (QuickBooks or similar).
•Handle documentation and compliance. Send Certificates of Destruction, maintain organized digital and physical records, and support audit readiness.
•Manage daily office systems. Input data, maintain logs, update customer/vendor files, and assist with internal workflow software.
•Assist with product fulfillment. Take occasional online orders, generate shipping labels, pack small orders, and support customer communication.
•Support leadership. Maintain schedules, track deadlines, help prepare documents for management and sales, and proactively resolve routine administrative issues.
•Engage with the facility. Work in an office connected to the factory and walk onto the production floor when needed to communicate with operations staff.

•Strong communicator: clear, concise, steady.
•Solid computer literacy; comfortable learning new systems quickly.
•Highly organized with excellent attention to detail.
•Ability to manage multiple tasks in a fast-moving environment.
•Comfortable working in a production-adjacent office environment and interacting with drivers and factory personnel.
•Dependable, punctual, and able to maintain confidentiality.
Preferred Skills
•Experience with QuickBooks helpful, invoicing, order entry, or logistics workflows.
•Prior experience in manufacturing, agriculture, recycling, or supply-chain environments.
•Comfort with light fulfillment tasks (packing small orders, printing labels).
Working Environment
•On-site role in a dedicated office attached to the factory.
•Occasional short walks onto the factory floor to communicate with operations teams.
