Secretary:
FT position, normally 8:00 a.m.-4:30 p.m., M-F

General typing/correspondence including form completion, evaluations, various reports, minutes, surveys, notices, memos, etc. will be efficiently and accurately completed within specified time frames for review w/supervisor. Accurate logging of such information, as applicable, will be maintained in a log and available for review. Efficiently and effectively utilize agency computer system (including accurate data entry), to produce maximum high quality work. Answer and respond to telephone calls, assist clients, outside agencies, and co-workers, as needed, and receive, send, distribute agency faxes/e-mails, as applicable Consistently act appropriately and professional as a liaison to various outside agencies. Maintain a pleasant demeanor with all staff, clients, the general public and outside organizations. Maintain strict confidentiality standards according to HIPAA guidelines and all agency requirements. Appropriate and timely processing of agency forms, client screening information, rescheduling crisis forms and changes, etc. into the computer system and in the document manager. Maintain an accurate log of closings. Daily entry/maintenance of blocked time and/or planned events for staff; inform receptionist accordingly. Per assignment, maintain room use calendar, web site updates, etc., daily logging of incoming checks to the agency billing dept.; consistently verify accuracy of all documentation scanned in by one other secretary determined by supervisor and consistently report any errors found to supervisor. Specified medical records duties including, but not limited to, scanning records, electronic chart checking, processing closing, running mail, entering route slip information, pulling/filing charts, etc. Per assignment, specified vocational duties, included but not limited to, processing of incoming and outgoing authorizations, prepare/update Excel spreadsheets related to vocational billing and services; create invoices from billing reports. Take minutes and prepare/type summaries for weekly meetings. Schedule participant for various purposes/report daily attendance. Ensure classroom folders/binders are prepared. Monitor update forms. Provide back-up coverage, as required. Work flexible hours, if needed/required. Ability to meet department specific productivity expectations. E.O.E.
Minimum Requirements:
High school diploma or GED and one year related secretarial experience required. Good knowledge of modern office practices/procedures, office equipment and Business English and grammar. Computer knowledge of Microsoft Office (Word) and ability to operate computer keyboard required. Knowledge/training in medical terminology, records, Excel, preferred. Ability to type 40-60 wpm, occasionally lift large file folders of up to @8 lbs. each, and boxes of charts, up to 30 lbs. Present a positive image as a Center representative and maintain a professional attitude in communicating with staff and the general public;; work effectively and accurately in an atmosphere of interruptions, be flexible in changing job duties as require; work independently, as well as with a team; be organize and pay attention to detail. Ability to communicate effectively verbal and in writing. Subject to background clearance checks, including criminal, drug screen, BMV, and credit check clearances.
