BEGINNING SALARY RANGE:
$19.03 - $27.88 per hour – Salary based on related experience.

POSITION DESCRIPTION:
Provides administrative support to the Community Support Services (CSS) Department. Assists in supporting the needs of the CSS Department. Completes monthly invitation letters for Service and Support Associate (SSA) meetings. Serves as Recording Secretary for various department meetings. Maintains accurate information for individuals served in Ohio Department of Developmental Disabilities and internal systems. Assists CSS leadership with organizing and coordinating trainings/events and gathering, tracking, distributing data and documentation.

DUTIES:

  • Provides administrative support to CSS Leadership. Assists in logging, tracking, and distributing a variety of data for the Medicaid and SSA units. Checks SSA Incident Report box daily and sends reports to SSAs. Coordinates schedule for the 24-hour on-call services.
  • Maintains accurate information in the Ohio Department of Developmental Disabilities system. Maintains ACBDD Individual Roster and processes/updates internal systems to accurately reflect billing eligibility upon intake and as Change of Service forms are sent. Serves as the Recording Secretary in SSA and Community Support Services department meetings and others as assigned.
  • Assists Intake Support Coordinators in requesting and obtaining diagnosis verification information as a part of the eligibility process. Assists the Director of CSS in mailing denial letters for those determined not eligible for Board services. Assists in updating and maintaining eligibility tracking.
  • Prepares and distributes invitation letters to meetings for individuals with their SSA and all members of the individual planning team. Assists SSAs in putting postage on all outgoing mail. Maintains mailing list for agency newsletter.
  • Ensures that each area of the CSS Department has an adequate supply of current agency letterhead. Maintains adequate inventory of office supplies on hand for the CSS Department. Compiles consumable inventory report for the CSS department. Tracks building occupancy and changes throughout the year. Provides coverage for the front desk/visitors.
  • Provides support to the Medicaid Unit within the CSS Department in organizing and coordinating monthly Learning Lunches. Assists Managers in the CSS Department in coordinating and scheduling trainings for the department. Assists the Behavior Support and Investigative Agent Manager with clerical duties as it relates to the Behavior Support Grant.
  • Assists CSS Leadership with running reports and gathering information for Performance Evaluations.
  • Assists with special projects as assigned.
  • Assists SSA Managers in coordinating SSA onboarding and orientation.
  • Participates in training and educational opportunities both at the agency and through other sources, including statewide opportunities.

RESPONSIBLE TO:
Director of Community Support Services

HOURS:
Typically 8 hours daily, Monday through Friday (Flexible to meet the needs of the agency.)

QUALIFICATIONS:

  • Typically two years of training beyond high school, such as an Associate’s Degree, or thorough working knowledge of the procedures in a specialized field.
  • Competency is usually attained based on seasoned practice with diverse tasks, mastery of primary and secondary activities, and a broad background with most situations. Over one year through three years of experience preferred.
  • Experience with standard office equipment including computers with Microsoft Office and similar software for advanced computer use.
  • Must have the academic skills necessary to achieve acceptable scores on the Skills Ability tests.
  • Ability to communicate with employees and providers in an effective and supportive manner.
  • Ability to communicate effectively, both orally and in writing.
  • Keyboarding requirement of 50 wpm.
  • Must maintain a valid Ohio driver’s license with a record that is acceptable by the agency’s insurance carrier as verified by an annual driver’s abstract.
  • Must provide proof of liability insurance on personal vehicles.
