Position Summary
We are seeking a detail-oriented and highly organized Payroll Specialist to manage and process payroll for our growing transportation company. This role is responsible for accurately processing payroll across a variety of pay structures, including hourly, salary, per-mile, percentage-based, contract, per-load, and incentive pay. The ideal candidate has experience in transportation or logistics payroll and understands the complexities of driver compensation, compliance requirements, and multi-state payroll regulations.
Key Responsibilities
- Process weekly payroll for drivers, owner-operators, mechanics, and administrative staff
- Calculate and verify multiple pay structures, including:
- Hourly and salaried wages
- Per-mile pay
- Percentage-based load pay
- Per-load or trip pay
- Bonuses and safety incentives
- Detention, layover, and accessorial pay
- Review trip settlements and reconcile with dispatch and TMS systems
- Ensure compliance with federal, state, and local wage and hour laws
- Manage payroll deductions including benefits, garnishments, advances, and fuel card deductions
- Maintain accurate payroll records and documentation
- Prepare and submit payroll tax filings and reports
- Reconcile payroll accounts and assist with month-end closing
- Respond to employee payroll inquiries in a timely and professional manner
- Assist with year-end processes including W-2s and 1099s
- Support audits and maintain confidentiality of sensitive information
Qualifications
- 3+ years of payroll experience (transportation or logistics industry preferred)
- Strong understanding of multi-state payroll compliance
- Experience processing complex compensation structures
- Experience with transportation management systems (TMS) preferred
- Knowledge of DOT regulations and driver pay practices is a plus
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Proficient in Microsoft Excel
