Job Description:
The Human Resources Administrative Assistant is an administrative position with responsibility for various Human Resources functions. Provides support to the
HR Department in the areas of employment processes, applicant tracking, data entry, filing, internal and external correspondence, and other functions. Assists the
HR Department with projects as assigned. Data entry and detailed recordkeeping are major functions of this role.
Primary Responsibilities:
- Knowledgeable and courteous service while assisting internal associates, co-workers, supervisors, and executives
- Receive in sensitive HR related documentation for the department
- Serve as point person for company offered programs as assigned by HR Director
- Provide administrative support to the Human Resources Department
- Data entry, filing, recordkeeping, and document editing
- Internal and external correspondence requiring excellent letter and email writing skills
- Maintenance of various critical spreadsheets and data
- Mass mailings and employee communications
- Special and/or seasonal projects as assigned
- Dictation for sensitive HR issues
- Provide backup support to front desk receptionist during breaks and/or absences
- Function effectively and harmoniously within a team environment
Requirements:
- Must have High School Diploma or equivalent (documentation required)
- 2 years’ experience in administrative role
- Must meet ITAR definition of US Person (documentation required)
- Professional demeanor and appearance
- Effectively present information in one-on-one and small group situations
- Demonstrate multi-tasking, organization skills, strong attention to detail, and problem solving skills in a fast-paced environment
- Ability to handle large amounts of data entry and filing
- Intermediate or Advanced skills in Microsoft Office programs such as Word, Excel, PowerPoint, and Outlook
- Typing 35 wpm (minimum)
- Excellent written and verbal communication skills
- Ability to handle, update and maintain sensitive information in a confidential, timely and professional manner
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form
- Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages
- Ability to read, write and comprehend simple instructions, short correspondence, and memos
- Ability to compose professional and comprehensive letters and emails
- Ability to prioritize workload and handle multiple tasks or projects at a time
- Working knowledge of standard office equipment such as desktop computer, copier, fax, scanner, shredder, laptop, printer, etc.
- Must be a self-motivated fast learner
- MTI is a safety sensitive manufacturer. As such, successful results of pre-employment drug testing will be required.
Preferable Experience:
- Ability to create pivot tables, dashboards etc.
- 2+ years’ relevant Human Resources experience
Physical Demands/Work Environment:
While performing the duties of this job, the employee is regularly required to amble, sit, use hands, reach with hands and arms, and communicate. Work in office environment and use of computer (typical 2-button scroll mouse, and keyboard - 95% of the work day). The employee must occasionally lift/or move up to 20 pounds. Specific vision abilities required by this job include close vision, depth perception, and ability to adjust focus. The noise level in the work environment may be loud at times.
