Administrative Operations Specialist (Full-Time)
Location: Portsmouth, Ohio
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Pay: $20–$26 per hour (based on experience)
Position Overview
We are seeking a high-performing administrative professional to support day-to-day operations, documentation workflows, and internal coordination for a busy, mission-driven organization in Portsmouth, Ohio. This role is ideal for someone who enjoys building order, improving consistency, and keeping multiple priorities moving forward—while maintaining a calm, professional approach.
You’ll have meaningful responsibility and visibility, with room to take initiative, solve problems, and strengthen how the office runs—especially in documentation, scheduling support, and communications.
Key Responsibilities
Administrative Operations & Documentation
- Oversee employment documentation workflows, ensuring records are complete, compliant, and consistently maintained.
- Manage employment changes and documentation submissions; correct discrepancies and help ensure processes move forward without unnecessary delays.
- Maintain strong data practices through accurate data entry and consistent attachment of required documentation.
- Provide document production and distribution support (preparation, copying, gathering, routing), ensuring materials are clear, timely, and professionally presented.
- Support incident report documentation with discretion, accuracy, and attention to established processes.
Coordination, Meetings & Events
- Coordinate logistics for events and functions by managing timelines, materials, and key details to support a polished, professional experience.
- Provide meeting coordination and support, including scheduling, preparation, and follow-up steps to help ensure meetings are organized and productive.
Communications & Internal Coordination
- Draft and prepare internal and program communications that support clarity, alignment, and timely action across teams.
- Develop social media content that supports consistent messaging and community visibility.
Travel, Logistics & Operational Support
- Coordinate travel arrangements for staff, ensuring details are accurate, cost-aware, and aligned with schedules and program needs.
Qualifications & Skills
Required Experience & Skills
- 4+ years of administrative experience in a professional office environment.
- Strong working knowledge of Microsoft Office and/or Google Workspace (Docs/Sheets/Email/Calendars).
- Excellent attention to detail and the ability to maintain accurate records and consistent documentation.
- Strong written and verbal communication skills, including the ability to draft clear, professional updates.
- Ability to manage sensitive information with discretion and professionalism.
- Comfortable coordinating multiple priorities with a steady, organized approach.

Physical / On-Site Expectations
- Ability to be on your feet during events and assist with on-site coordination as needed.
Compensation & Time Off
Pay range: $20–$26/hour, based on experience.
- Two (2) weeks paid vacation annually
