Job Title: Customer Service Specialist  

 

Reports to: Customer Service Manager            

 

Schedule: M-F, normal business hours with some flexibility

D&D Ingredients LLC is a premier contract manufacturer and ingredient supplier serving the animal feed and pet food industries. We are seeking a highly organized and customer-focused professional to join our team as a Customer Service Specialist. This role plays an important part in ensuring order accuracy, responsive communication, and seamless coordination across departments to support customer satisfaction and operational excellence.

 

Position Summary:

  • The Customer Service Specialist serves as the primary point of contact for assigned customer accounts and manages the full order lifecycle — from entry through fulfillment and invoicing.
  • This role requires strong attention to detail, clear communication, and the ability to collaborate effectively across Production, Purchasing, Quality, Logistics, and Shipping in a fast-paced Agriculture MFG environment.
  • Success in this position is defined by accuracy, responsiveness, professionalism, and the ability to anticipate and resolve issues in a way that supports both our customers and our internal teams.

 

Key Responsibilities:

  • Serve as the primary contact for customer accounts.
  • Ensure accurate and timely order entry aligned with customer requirements.
  • Monitor order patterns and proactively clarify discrepancies.
  • Prepare and coordinate orders with Production, Purchasing, Quality Assurance, Shipping & Receiving, and Logistics to support on-time fulfillment.
  • Communicate potential delivery or production risks promptly and professionally.
  • Manage invoicing, returns, lot tracking, and required documentation.
  • Address customer inquiries and concerns efficiently and thoughtfully.
  • Maintain compliance with company policies and standard operating procedures.
  • Support inventory accuracy and internal coordination efforts.

Required Skills & Qualifications:

  • Associate or bachelor’s degree in business or related field preferred; equivalent experience considered.
  • Minimum two (2) years of customer service experience in a business-to-business environment.
  • A customer-first mindset empathic listener with strong written communication self-directed skills.
  • Proficiency in Microsoft Excel (formulas, pivot tables, data analysis).
  • Excellent organizational skills and attention to detail.
  • Ability to multitask and adapt to shifting production schedules and customer needs.
  • Strong math, writing and verbal communication skills.
  • Experience in agriculture, animal feed, or manufacturing industries is a plus.
