Job title: Purchasing Assistant
Location: Avon, OH
Shift 1st (Monday through Friday 8 am to 5 pm)
Salary: $21-$30 an hour based on experience
JOB DUTIES
- Generate, process, and manage purchase orders (POs) for raw materials, consumables, tooling, outside services, and MRO supplies.
- Verify supplier confirmations, including lead times, pricing, and delivery schedules to align with production needs.
- Monitor open orders and proactively follow up with vendors regarding late or potentially delayed shipments.
- Communicate any delays, substitutions, or order changes to internal teams in a timely manner.
- Serve as a key contact for suppliers, handling order updates, confirmations, expediting requests, and documentation needs.
- Maintain professional and effective communication with vendors and internal stakeholders via phone and email.
- Support supplier onboarding, vendor setup, and ensure accurate maintenance of supplier records.
- Collaborate with Purchasing and Receiving teams to ensure accurate deliveries, packing slips, and invoice reconciliation.
- Assist in resolving discrepancies such as shortages, damaged items, incorrect pricing, or documentation issues.
- Organize and maintain purchasing records, including confirmations, freight documentation, and supplier certifications.
- Monitor inventory levels and reorder points, assisting with replenishment of high-use materials and supplies.
- Coordinate urgent material requirements with the Purchasing Manager and production teams.
Support inventory accuracy efforts, including cycle counts and related initiatives. - Maintain accurate purchasing data within ERP/MRP systems and supporting spreadsheets.
- Contribute to process improvements in purchasing workflows, including tracking and documentation accuracy.
- Assist the Purchasing Manager with reporting, supplier performance metrics, and KPI tracking.

REQUIREMENTS- High school diploma or GED required (Associate degree or technical coursework preferred).
- 1+ years of experience in purchasing, supply chain, administrative support, or manufacturing operations preferred.
- Strong proficiency in Microsoft Office (Excel, Outlook) and comfort working in ERP/MRP systems.
- Strong attention to detail—able to manage multiple orders without errors or missed follow-ups.
- Clear communication skills and a professional, service-driven approach.
- Strong organizational skills with the ability to prioritize urgent needs in a fast-paced environment.
- Experience in a manufacturing or metal fabrication environment preferred.
- Experience with supplier expediting, inventory control, or invoice/PO matching preferred.
- Familiarity with purchasing terms such as lead times, freight terms, MOQ, and material certifications preferred
- Ability to pass a preemployment screening.
