Office Manager / Marketing Assistant

Urgently Hiring

We are seeking a positive, dedicated, and detail‑oriented Office Manager / Marketing Assistant to join our team at a family‑owned and operated memory care assisted living facility. This role is based at our busy front desk and plays a key part in supporting daily operations, marketing efforts, and admissions coordination.

Schedule

  • Four 10‑hour shifts
  • Every other weekend
  • Every other holiday

Key Responsibilities

Duties include, but are not limited to:

  • Coordinate administrative, financial, and clerical support with front desk staff and the Facility Administrator
  • Support marketing and admissions efforts, including:
    • Giving facility tours
    • Responding to admission inquiries from prospective families
  • Organize and maintain resident, employee, marketing, and resource files
  • Assist with payroll tracking and basic payroll management
  • Coordinate the on‑site adult day care program
  • Assist with resident admissions and address guest or family concerns
  • Answer and direct phone calls; greet and assist visitors
  • Support billing, payables tracking, and basic financial processing
  • Assist with coordinating services for residents and families
  • Provide customer‑focused support to residents, families, and visitors

Required Skills & Qualifications

  • Proven experience as an Office Manager or Administrative Assistant
  • Strong customer service mindset with a positive, professional attitude
  • Proficiency in Microsoft Word and Excel
  • Working knowledge of office equipment (printers, fax machines, etc.)
  • Strong time management and ability to prioritize tasks
  • Excellent attention to detail and problem‑solving skills
  • Strong written and verbal communication skills
  • Excellent organizational skills with the ability to multitask in a fast‑paced environment
