Contract Administrator

Description of Position

General Duties:

·        Work with Project Manager/Estimator to prepare projects to begin the bid process.

·        Ensure all bids are processed and prepared accurately and submitted meeting all bid deadlines.

·        Responsible for preparing all subcontracts and purchase agreements.

·        Works closely with government agencies to ensure all details of contract are completed accurately.

·        Process all billings/invoices for projects.

·        Ensure all subcontractors are paid accurately and following contract specifications.

·        Review job cost and sales and keep PM s and management informed of issues/deficiencies.

·        Familiar with Certified Payroll Reporting.

·        Communicating with clients and vendors.

·        Ensure contract compliance.

·        Assist with submittals and update/submit pay applications and project schedules.

·        Coordinating, compiling, and preparing documentation as needed.

·        Maintaining permanent files of all procurement, contractual/agreement documentation for all contracts, purchase orders and agreements.

·        A strong working knowledge of contracts and administrative duties.

·        Work with project staff to help prepare all written (emails) and verbal communications.

·        Ability to identify waste/cost and increase profits while complying with laws/specifications and contract standards.

·        Manage and maintain office master schedule.

 

Requirements:

·        Bachelor’s degree preferred or equivalent in contract management/related fields

·        Preferred 3 years of experience in related field

·        Basic understanding of ODOT construction and material specifications

·        Budgetary and finance experience is a plus

·        Proficient in all office applications

·        Time management and problem-solving skills

·        Verbal and written communication skills

·        Strong Attention to Detail

 

Benefits:

·        Salary $55,000 - $65,000, based on experience.

·        8 Paid Holidays and Flex Time

·        401 Company Matching, after 1 year

·        1 Week Vacation, after 1 year; 2 Weeks after 2 years.

·        Bonus eligible based on company profits and individual accomplishments

·        Very flexible with scheduling personal/family time off
