Position Overview

The Operations Coordinator plays a critical role in ensuring the day-to-day financial, donor processing, and administrative functions of the United Way of Clark, Champaign, and Madison Counties operate efficiently and accurately.


This role is responsible for gift processing, financial tracking support, database management (Andar), and operational logistics, and is essential to maintaining donor trust and organizational stability.


This is a highly detail-oriented role for someone who values accuracy, consistency, and dependable execution.

Systems & Tools You Will Use

- Andar (primary donor CRM and gift processing system)

- Microsoft Office Suite (Outlook, Word, Excel)

- Microsoft Excel for reporting, tracking, and data management

- Online payment platforms and financial systems

- Internal reporting tools and United Way systems


Strong proficiency in Microsoft Office is required, with a high level of comfort and excellence in Excel (including data organization, formulas, and reporting).

Financial Processing & Accountability

- Prepare and process deposits (checks, cash, and online gifts) multiple times per week

- Perform bank runs and post office runs 3–4 times per week

- Track accounts payable and receivable activity

- Prepare weekly invoices

- Reconcile online payment platforms and assist with credit card reconciliation

- Maintain accurate financial records for daily operations

- Assist in audit preparation and financial reporting

Donor Database & Gift Processing (Andar)

- Enter and manage donor gifts in Andar (primary CRM system)

- Maintain accurate and up-to-date donor records

- Process donor acknowledgements (mail and email) in a timely manner

- Maintain and update the Dolly Parton Imagination Library (DPIL) database

- Monitor donor changes (address updates, employer changes, obituaries, etc.)

- Maintain overall database cleanliness and integrity

Reporting & External Coordination

- Generate reports to support fundraising, campaigns, and leadership needs

- Track campaign progress and ensure data accuracy

- Coordinate reporting and financial processes with United Way of Central Ohio (UWCO)

- Support administrative aspects of grant and donor reporting

Board & Organizational Support

- Take and prepare minutes for Board of Directors meetings

- Support organizational reporting and documentation needs

Office & Operational Support

- Manage daily mail and deliveries

- Maintain office supplies and general office organization

- Ensure accurate and consistent filing systems (digital and physical)

- Support workflow consistency and identify inefficiencies

Event & Annual Campaign Support

- Provide administrative support for campaign and UW sponsored events as needed, including evenings and weekends

- Manage registration tracking, invoicing, payment tracking, and list management

What You Bring

- Strong attention to detail and accuracy

- Ability to manage multiple recurring responsibilities with consistency

- Comfort working with financial data and systems

- Experience with CRM/database systems (Andar preferred)

- High level of proficiency in Microsoft Office, with strong emphasis and demonstrated excellence in Microsoft Excel

- Strong organizational and time management skills

- A team-first mindset and commitment to community impact

Qualifications

- Associate degree or bachelor’s degree preferred, or equivalent experience

- 2+ years of administrative, financial, or operations support experience

- Valid driver’s license and reliable transportation required
