About the RoleThe Student Records Clerk/Specialist is responsible for maintaining accurate, complete, and compliant student records in accordance with institutional, governmental, and contractual requirements. Reporting to the Student Records Manager, this role supports data integrity, accountability, and smooth operational flow across multiple departments.
You will manage both electronic and paper records, monitor attendance, support data audits, and provide responsive customer service to students and staff. This role requires strong attention to detail, organizational skills, confidentiality, and a commitment to maintaining the center’s positive normative culture.
What You’ll DoStudent Records Management & Data Integrity
• Maintain and review all electronic and paper records for current and former students with accurate data entry.
• Manage incoming records flow in coordination with other departments.
• Maintain permanent records of all transactions for tracking, verification, and audit purposes.
• Maintain computerized accountability systems for enrolled students and clothing allowances.
• Keep all required student attendance information up to date per government and management directives.
• Monitor attendance, document absences, and prepare required daily, weekly, and monthly reports.
• Prepare post-center follow-up files for Career Transition Services (CTS).
• Conduct regular and quarterly audits to ensure data accuracy, timeliness, compliance, and service quality.
• Prepare audit and compliance-related reports as needed.
Student & Staff Support
• Respond to inquiries regarding student records, student pay, transportation, and clothing allowances.
• Research and resolve discrepancies, conflicts, or missing information in student files.
• Collaborate across departments to ensure complete and accurate student documentation.
Compliance, Policies & Culture
• Assist in developing and improving student records policies and procedures.
• Maintain compliance with all institutional, governmental, and accreditation regulations.
• Model, mentor, and support the center’s positive normative culture.
• Act as a responsible custodian of center property.
• Report unethical behavior and identify areas for continuous improvement and reduced waste.
• Identify and report environmental, health, and safety concerns within the department.
• Maintain at least a 75% or higher on the employee scorecard.
Minimum Qualifications• High school diploma or equivalent.
• One year of clerical or administrative experience.
• Experience working with youth (preferred).
Certifications & Competencies• Ability to maintain compliance with the Privacy Act.
• Ability to support the Career Success Standards (CSS) through role modeling, mentoring, and behavior monitoring.
• Strong organizational and multitasking abilities, with the ability to work under tight deadlines.
• Excellent written and verbal communication skills.
• Ability to type at least 50 words per minute.
• Proficiency in Microsoft Office Suite, especially Excel.
