LOCATION:    Lima CVS Office            EMPLOYMENT STATUS:    Full-time 

CLASSIFICATION:    Non-Exempt       POSITION REPORTS TO:    Agency Support Director         

POSITIONS SUPERVISED:    Clerical staff, volunteers, and interns as assigned 

  

POSITION PURPOSE 

The VOCA Grant Coordinator is responsible for assuring successful submission, compliance, and reporting of the VOCA grant.  This position also provides accounting and fiscal management services for CVS, grants, and programs, including accounts receivable, accounts payable, payroll and associated tax and benefit reporting, assistance with general ledger journal entries, reconciliations, and other projects and responsibilities as needed.  

  

ESSENTIAL FUNCTIONS AND BASIC DUTIES 

  • Maintain knowledge, relationships, and material to assure successful VOCA Grant income and compliance
  • Provide timely and accurate payments of emergency financial assistance 
  •  Follow all CVS and Grant financial policies and best practices, ethics, and conflicts of interest guidance  
  •  Maintain positive, accurate, timely, confidential, and ample communication with supervisor and CVS staff
  •  Prepare and process bi-weekly payroll and associated tax returns
  •  Manage bank activity, including preparing related journal entries and reconciling bank accounts 
  •  Oversee day to day accounts payable, accounts receivable, and billing functions 
  •  Enter credit card expenses, organizing and ensuring receipts are obtained for all charges from employees, and verifying compliance with company and VOCA Grant policies
  •  Draft and maintain processes and procedures documentation 
  •  Participate in audits and prepare related schedules and inventory
  •  Monitor petty cash accounts and maintain related purchases, balances, and receipts 
  •  Purchase supplies and equipment, organizing events and travel, assisting with computer hardware and software problems and installations, and assisting with website updates 
  •  Assist Agency Support Director with technological maintenance, troubleshooting, updates and enhancements, and training for staff
  •  Meet job safety requirements and applicable OSHA safety standards that pertain to essential functions 
  • Meet all CVS, Ohio, and national standards for victim assistance and service outcomes 
  •  Answer the telephone, route calls and greet visitors as needed 
  •  Provide crisis intervention and referral assistance to victims as needed 
  •  Supervise staff, volunteers, and interns as requested 
  • Perform any and all other related duties as assigned or directed in order to promote, further, and ensure the effective and efficient operation of Crime Victim Services, including to assist and advocate for victims to reach outcomes  of property security and personal safety, emotional and physical healing, justice process knowledge and participation, and financial recovery and restitution 


WORK ENVIRONMENT
 

The employee: works with and around chemicals found in an office environment; ascends or descends stairs; has contact with potentially violent or emotionally distraught persons; may periodically be exposed to chemicals/fumes from cleaning products and/or paint products. 
 
PHYSICAL REQUIREMENTS 

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to speak or hear, stand or sit for long periods of time, open filing cabinets, walk, stoop or bend, use hands to handle or feel and reach with hands and arms.   The employee must frequently lift and/or move up to 10 pounds, occasionally lift and/or move up to 25 pounds and complete tasks requiring manual dexterity. May be required to travel to/from meetings while exposed to outside environment. Ability to drive a vehicle for travel is required for the position. 

  
QUALIFICATIONS 

  • Completion of a Bachelor’s Degree in accounting or business and two (2) years of accounting or business experience, or equivalent work experience  
  • Knowledge of business related software (e.g., Microsoft Office products, Crystal Reporting and QuickBooks) is required  
  •  Must have the ability to maintain confidentiality in all matters  
  • Skilled In: computer operation, use of modern office equipment, proficiency in Microsoft Office, Word, Excel and Power Point 
  • Ability to:

  • Licensure or Certification: Valid Driver’s license, proof of insurance and pass a variety of criminal and civil background checks
