The University of Cincinnati Maintenance and Operations Department is currently seeking a Public Inquiries Assistant who will under general direction from a section supervisor, provide assistance & information to consumers, business people, government officials, patients, residents & general public in response to requests & inquiries; assist with and/or perform related research, reporting & record-keeping.
Essential Function: Process customer request from throughout the university community via telephone, 2-way radios, and through a web portal. Accurately enter information into the computer system to produce work orders. Create and maintain work control reference material using Microsoft Office. Perform other miscellaneous office task.
Provides assistance and information to consumers, business people, government officials, patients, residents and general public in response to requests & inquiries received by telephone, in mail or in person and refers client to another source, provides assistance in resolving problems, questions, complaints, counsels and/or gives advice and follows up to assure consistent maintenance of conditions favorable to client when necessary.
Knowledge of (1) office practices & procedures, (2) departmental operations, procedures & regulations*, (3) public relations; ability to (4) deal with problems involving several variables in familiar context, (5) define problems, collect data, establish facts, draw conclusions, (6) cooperate with co-workers on group projects, (7) handle sensitive inquiries & contacts.
Assists with and/or performs research to determine solutions to problems affecting clients, to determine nature & magnitude of problems or complaints, and/or to study particular products, practices or services in behalf of clients.
Knowledge of 1, 2; ability to 5, (8) compile, write, edit reports, (9) work alone on most tasks.
Assists with & maintains records, data, documentation & reports regarding calls, correspondence, contacts & actions.
Knowledge of 1, 2; ability to 4, 8, (10) keep accurate records, (11) gather, collate, classify information about data, people, things.
Efficiently answer and address telephone calls. Accurately take messages and work requests. Respond to emergency call situations immediately. Meet and greet the public entering the office and respond to their needs.
Enter/modify data into the work control computer system and approve web work requests. Identify and follow departmental procedures for all types of work requests.
Be able to use 2-way radios and pagers.
Perform various computer task (create and maintain work control information in Word and Excel).
Perform various miscellaneous tasks (i.e. clean work area; assist others in using fax, scanner and copier; order office supplies; receive and distribute mail; issue keys and secure key inventory; receive shipments).
Perform other related duties based on departmental need.
Minimum Requirements: Ability to calculate fractions, decimals and percentages and to read and write common vocabulary plus: 3 courses in public relations (or 3 mos. Exp.); or equivalent.

Pay Grade: 61 Pay Rate: $15.44 per hour starting Post Probationary Rate: $16.71 per hour
