Job Title: Project Coordinator

Provide administrative support to the Big Box Division. Duties include general clerical, reports and project-based work. Project a professional company image through in-person and phone interaction.

 Essential Duties / Responsibilities:

Include the following. Other duties may be assigned.

Communicate with foremen daily for any needs/weekly updates.

Generate the weekly job report on Tuesday and check and highlight the equipment line.

Update the Big Box contact list for current and upcoming jobs.

Ensure green folders are made for new jobs and updated with necessary paperwork.

Create and maintain in Big Box job folders any new jobs and update current jobs.

Look through TCMS daily for contracts needed on tracker.

Look through Completed Sprinkler folder daily for updated permits.

Run the manpower report every Monday.

Request key plans and fabrication breakdowns from designers as needed.

Enter the fabrication breakdown and dates into FMS as information is received.

Check with general contractors about schedules and any other needed information.

Assist Field Coordinator with WIPs when needed.

Update Headers Tracker with new jobs from Drawings in Completed Sprinkler folder.

Coordinate all equipment needs for jobs.

Work with Fleet Logistics Supervisor on equipment changed that need to be made and run through reports.

Send all Blue Tickets to Fabrication Shop when needed.

Contact rental companies for any outside repairs and follow-up for completion.

Prepare all foremen expense reports.

Coordinate with the Safety Department and Project Managers to ensure all Tool Box Talks are completed.

Check payroll against Reveal to ensure foremen and journeymen are paid correctly.

Issue and receive purchase orders as needed.

Request and/or locate drawings for foremen and print them as necessary.

Handle all service calls and update the tracker.

Request warranty numbers when needed.

Point of contact for communication between technicians, general contractors, and project managers.

Ensure project equipment budget is under budget by calling off all unneeded equipment by the due date.

Update the equipment tracker daily.

Check equipment on each job through TCMS.

Search and obtain the most cost-efficient subcontractors as needed.

Ensure all test papers, zone charts, and hydraulic plates are ready for jobs.

Order containers from Mobile Mini when needed.

Assist with dates on key plans.

 Education / Work Experience:

High School Diploma or GED is required.

5+ years of administrative experience is required.

Previous experience in a construction field is a plus.

Computer Skills:

Proven knowledge of Microsoft Office Software (i.e., Word, and particularly Excel).
