Description
 
Assist the maintenance supervisors and technicians in all office administrative functions and take maintenance work order requests from residents, technicians, and supervisors.

POSITION DUTIES:  Include the following.  Other duties may be assigned.

Customer Service Management

Answering phones and greeting customers, directing them to the proper person or office.

Coordinating and scheduling maintenance service with technicians  

Has daily interaction with residents taking work order requests and distributing to appropriate supervisor/team.

Closing work orders in management system

Organization

Daily, reviewing and processing mail & correspondence routing to appropriate person/office. 

Coordinates with subcontractors and residents to schedule any work needing done. 

Documentation

Accurately maintains and closes work orders in management system

Works with supervisors and agencies, as needed, assisting with projects & programs 

Scans and files work order documents to maintain in unit history files 

Runs reoccurring reports for leadership, and as requested, special reports 

 
 
QUALIFICATIONS & EXPERIENCE: 

One year of customer service or maintenance experience.

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. 

Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Ability to deal with problems involving several concrete variables in standardized situations.

Ability to read and comprehend simple instructions, short correspondence, and memos. 

Ability to write simple correspondence. 

Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization
