Job Description

The overall objectives of this position are to:

Manage the overall functionality of the Fairfield Center of Excellence.
Provide a variety of administrative and staff support services as needed.
To be the key coordinator of a large Campus (over 400 people) for events, supplies, problem resolution, floor plan layout review, coordination of suggestions and actions.
To be the primary contact between Veritiv and the landlord.
Schedule and coordinate projects and handle special assignments as needed.
Provide advanced administrative support to members of leadership, as needed.
Manage the reception desk and receptionist.

Job Responsibilities:

Manage the overall functionality and facilities management of the Fairfield Center of Excellence, including liaison to landlord, Real Estate team, Risk team, and facility management vendors.
Oversight of the main lobby reception desk and manage the receptionist.
Responsible for lease service contracts, mailroom or other large equipment purchase orders. 
Manage relationships, contract and price negotiations with vendors, service providers.
Partner with the appropriate teams as needed to develop, implement and maintain plans for Veritiv to include, but not limited to:
Emergency Preparedness and Incident Response Plan
Minimum Security Guidelines
Business Impact Analysis Plan
Safety Standards and Guidelines

Ordering and restocking office supplies for associates, break rooms, conference rooms and mail room.
Responsible for scheduling and repairing any office issues.
Coordinates events for a large campus such as leadership town hall meetings, charity events, as well as internal events specific to the campus.
Maintaining the phone and office directory for the facility.
Managing the mailroom to include sorting mail, shipping/receiving packages/deliveries and ordering of any supplies.
Assist in the onboarding process for new hires and maintain the campus Welcome Packet.
Publishes site communications for building issues, special events, etc.
Maintain and update campus Sharepoint site.
Maintain a safe and secure work environment.  Ensure all safety procedures are being followed at the facility and prepare any required documentation to report any incidents.
Maintain First Aid kits by ensuring they are stocked, and the proper procedures are being followed regarding the use/removal of items from the kit.
Assist leadership with the preparation and tracking of the facility budget and annual standards. Code and process all facility invoices for payment.
Coordinate, manage and facilitate office and cubicles moves dictated by management.

Qualifications / Knowledge & Experience:


Associates or Bachelor's degree preferred
Prior office management for a large firm required

Skills and Demonstrated Behaviors:

Ability to work independently, manage multiple projects, work under pressure, and adapt to sudden changes in the work environment
PC proficient in Windows based software programs (MS Office, Excel, PowerPoint)
Highly organized with solid planning skills.
Excellent verbal, written, people, and diplomacy skills are required.
Vibrant personality and good interaction within a diverse work force.
Strong problem solving and attention to detail skills are required.
Negotiations skills.

Working Conditions/Physical Requirement:

Some off hours communication from Landlord or emergencies could happen, as first point of contact.
