Responsibilities




1.Supervises daily activities of the office staff and assigns duties as needed. 
2.Works collaboratively with Human Resources to perform functions relevant to interviewing, hiring,
on-boarding, developing and evaluating administrative assistants.
3.Assists in departmental human resource functions: prepares and conducts performance evaluations for
administrative support staff, assists in formulating and implementing departmental policies; recruits and manages
administrative support staff and assigns any new or additional responsibilities as needed, maintains timekeeping for
administrative staff.
4.Manages and leads multiple quality/process improvement projects simultaneously within the
administrative units to find ways to save time, money, and/or increase customer satisfaction.  Monitor staff utilization
and supports various reporting, data collection needs of Business Manager and Service Line Administrator.
5.Assigns, mentors, and coaches Admin II and Admin III staff to support physicians in the division, including the
Division and Section Chiefs.  These duties may be related to clinical, administrative, research and teaching responsibilities.
 6.Supports Neo leadership, Service Line Administrator and Business Manager in the development and distribution of
clinical service and call schedules for the division. 
7.Support zero to three physicians at a time re: support of schedule
 and calendar, administrative paperwork, type letters, schedule meetings and travel arrangements.
8.Coordinates office allocation and departmental moves with the Chief of the Division, Service Line Administrator,
Business Manager and Hospital Administration.
9.Orders departmental supplies and furniture; coordinates departmental equipment needs with the Head of the
Department, Service Line Administrator, Business Manager and Hospital Administration.
10.Maintains appropriate tracking measures for division accounts/funds. 
11.Coordinate hiring of physician staff, which includes but is not limited to assisting in obtaining privileges,
office space coordination, on-boarding schedules and itineraries.
12.All other related duties as assigned.

Qualifications




KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Education:

Associate or Bachelor degree or equivalent experience in a similar role.

Skills:

Must complete Ambassador Program within first 12 months of employment.

Experience:

 5 - 10 years administrative experience, as well as 3 - 5 years of office management or supervisory experience preferred. Experience in a healthcare setting may be desired.

MINIMUM PHYSICAL REQUIREMENTS

Pressure in this position will vary depending on the workload. The workload will be heavy but manageable most of the time.
