Job Summary




The Meeting and Events team is seeking a full time Administrative Assistant to support the group with all meeting and event preparation. This employee will communicate and coordinate meeting activities between the management team and meeting attendees while working closely with the Meeting and Event Services Manager and Coordinators.


Responsibilities




Maintain department specific trackers, calendar and templates
Support meeting preparation activities (in-house printing, packing lists, print orders, etc.)
Support attendee registration management activities - Verify information, contact attendees as appropriate, ensure proper communication to all attendees, etc.

Provide first level quality review for all meeting databases (hotel, print, ground transportation, travel, etc.)

Track venue proposals and contact representatives for additional detail

Compile, maintain and verify accuracy of all expenses

Post meeting reimbursement processing


Qualifications




Top performers might also have:

Minimum of 1-2 years experience in a business environment and administrative support role;
Proficiency in Microsoft Word, Excel, PowerPoint, InDesign, Illustrator and Photoshop is strongly preferred;
High attention to detail;
Strong multitasking ability;
Excellent written and oral communication skills; and
Ability to maintain confidential data.
