Parts & Service Support Representative


This role is to communicate with Parts & Service specialists, Technicians, and customers to perform a variety of activities to facilitate excellent customer relationships. Should have a basic understanding of purchasing, order management, and invoicing. Will communicate with internal and external accounts receivable and accounts payable personnel,

Job Responsibilities

o Responsible for timely processing of resolved service work order billings.

o Developing and maintaining spreadsheets for such tasks as tracking orders needing PO's, back order reports, credit card billings, Portal billing issues and disputed A/R. Attempt to resolve with parties involved and communicate results.

o Supplying customer PODs, order confirmations and other backup documentation as requested by customers

o Work with Parts & Service specialists and vendors to track and review direct orders to ensure timely billing to customers. Assist with APD resolutions.

o Back up peers in team to cover vacations and sick time.

o Process Credits and Rebills.

o Assist in ASTEA data management: Active Account designation, Notes for Valid PO processing, Expiring Contracts, Entering PM Contracts, Deleting expired FQ's and WO's, Machine S/N's, etc.

o Assist with group email distribution and reporting

o Performs other duties as assigned.

Required Skills

* Proficient in Windows based software programs (MS Office) suite

* Organizational skills and the ability to plan/prioritize work

* Excellent communication skills (verbal and written)

* Ability to work in a fast-paced organization, meeting multiple deadlines and succeeding under pressure is a must.

Required Experience

* High School Diploma/GED

* 5 years of administrative, customer service, or accounting experience

* 1+ years of distribution or manufacturing experience
