In this role you will: 

Accurately manage contract records within GFC software, eAutomate, to include:
Contract types including software, service, rentals, leases, incoming dealer, IT Services, vendor accounts, and managed print solutions.
Creation of new contracts which includes but is not limited to data entry of equipment, selection of proper bill codes, entry of beginning meters, creation of meter groups (black/white and color), entry of base rate(s) and overage rate(s), selection of correct distribution codes, addition of IL use tax where appropriate, and completion of custom property fields when needed.
Manage updates to bill codes to ensure accurate billing of service/supply requests
Enter additional equipment to the contract
Update location of equipment under contract
Process contract revisions requested such as use of a consistent billing date for multiple service contracts or fee changes based upon usage
Complete cancellation requests and credit memos
Maintenance of meter read contacts for equipment under contract
Ensure accurate invoicing of service contracts
Regular monitoring of select service contracts for example, to ensure minimum click requirements are met.

Maintain knowledge of other departments' functionality to properly direct both internal and external questions to the correct departments.
Perform research as necessary on inquiries, following up with other departments to ensure problem resolution.
Communicate terms and conditions of GFC service contracts to customers including explanation of renewal process, rental terms, cancellation clauses and return policy.
Review and examine all service cancellation requests. Obtain necessary documentation from the customer and/or Leasing department and assign a termination date along with reason for cancellation consistent with contract terms.
Responsible for the collection of accurate equipment meter readings via email, Data Collection Agents (DCAs) (such as FM Audit and ImageCare Remote), and calls with customer contacts to ensure the issuance of accurate invoices.  Work with GFC Service team and customer IT contacts to maintain equipment connectivity with DCAs. Work the daily exception report from FM Audit which lists equipment for which a meter read was not received.  Work with third party dealers to obtain accurate meter readings.
In a timely manner, review third party service provider invoices to ensure consistent with contract terms, input into National Account System (NAS) and approve for payment.
Run and analyze daily/weekly/monthly reports ensuring all task lists are completed by team members, all contract paperwork has been received from other departments, and all meter issues are being addressed to proactively prevent invoicing errors.

You should have: 

High school diploma or equivalent required
Proficient with Microsoft Office applications, including Word, Excel, and Outlook
