Description

The Exam Content Administrator performs a variety of examination development and publication related tasks using the item management system (IMS), and as assigned, leads other test administration team functions. This position reports to the Examination Operations Manager. 

 

Primarily responsible for:

  • Publication schedule development and management
  • Item management
  • Examination building
  • Examination publication
  • Item bank administration

Requirements

 

Essential Functions are listed below; other duties may be assigned: 

 

Perform examination development and publication. 

  • Performs test publication and development activities: 
  • Develops, maintains, and communicates test publication schedule.  
  • Builds exam pools per psychometric specifications.  
  • Manages item review process, adhering to workflows, deadlines, and quality standards. 
  • Verifies functionality and accuracy of exams prior to publication. 
  • Collaborates with vendor on examination publication and release. 
  • Supports item writing and item review Subject Matter Expert (SME) panels 
  • Prepares item pools for review. 
  • Provides IMS technical support. 
  • Performs post-workshop item coordination and quality control checks. 
  • Produces and updates reports. Identifies irregularities and/or potential issues and escalates concerns to the team.  
  • Assists with training staff and SMEs to use item management system and National Registry exam procedures. 

Perform examination administration operations and project work. 

  • Responds to requests for queries to assist with reports.  
  • Responds to IMS access requests. 
  • Works with vendor on IMS updates and configuration changes 
  • Troubleshoots IMS software and operational problems. 
  • Collaborates with other teams to inform them of IMS functionality.  
  • Manages copyright procedure and creates copyright applications to secure test content. 
  • Develops policies, procedures, and work instructions.  
  • Provides additional support to the exam team, may assume responsibility for other team tasks such as accommodations processing, as assigned. 

Support of organizational wide initiatives 

  • Participates in internal team projects. 
  • Serves as a technical resource inside the National Registry related to exam content and administration functions. 

Experience, Education, Certification and Skill Requirements: 

  • 4-year degree in Business, Computer Science, or related fields required 
  • 2 years of experience required. 
  • 3 years of experience preferred. 

Job Competencies  

  • Knowledgeable of National Registry operations and general understanding of how operations impact assigned examination team responsibilities.  
  • Knowledgeable of National Registry examination processes and policies 
  • Proficient software skills, including use of databases, spreadsheets, and the internal content management system.  
  • Effective communications skills (written and verbal) and ability to maintain positive internal and external stakeholder’s relationships regarding performing assigned tasks.  
  • Ability to manage vendors and/or external stakeholders and hold them accountable to National Registry policies and procedures.  
  • Possesses advanced understanding of project management methodology and ability to coordinate medium to large projects. 
  • Understands organization and team goals and able to contribute to long-term strategies for the Exam team.  
  • Able to set priorities for self as it relates to meeting team goals. 
  • Able to exercise discretion, maintain confidentiality and exam security.  
  • Demonstrates an ability to prioritize multiple tasks/demands and meet deadlines; demonstrates a high level of attention to detail and organizational skills to work on concurrent processes and projects.

Specific Requirements: 

  • Must be able to read, write, speak and understand the English language. 
  • Must be able to effectively communicate and deal tactfully with personnel, visitors, government agencies/personnel and the public. 
  • Must be able to perform basic math skills, adding, subtracting, dividing, etc. 
  • Must possess the ability and willingness to work harmoniously with other personnel. 
  • Must be able to accomplish tasks via the electronic environment such as video conferencing and digital collaboration.  
  • Must be able to effectively use a keyboard. 
  • Must be able to lift a minimum of 25lbs. 
  • Must be able to travel on behalf of the company to attend copyright meetings. 
  • Proficient written communication skills including the ability to write and edit technical documents. 
  • Proficient oral communication skills including the ability to train others on software use. 
  • Must be able to work in an office environment with moderate noise.  
  • Must be able to travel approximately 15 days per year.
