Job Purpose / Objective
The Travel Operations Supervisor is responsible for providing strategic guidance and assistance to the Accounts Payable Manager and Senior Management as it relates to the policies and procedures of travel and entertainment reporting. This will be accomplished through the ongoing assessment, recommendation, implementation and management of the travel and entertainment processes to ensure continual process improvement within the Travel Department. Other key responsibilities include the overall management of CBIZ's corporate travel card program, on-line T&E system operations and providing analytical information including Travel Expense metrics to support CBIZ's overall strategic goals.
Essential Functions & Primary Duties
Overall management of CBIZ's on-line T&E system, including design of system settings and audit rules to ensure proper control design and cost management.
Supervision and development of the T&E Processors.
Responsible for administration of corporate travel card program, including monitoring of aged accounts and guaranteed cards.
Driving utilization of corporate travel agency to improve reporting capabilities and travel savings.
Compiling and analyzing Travel Expense metrics including developing monthly management and business unit level reports, as well as reporting to identify spend anomalies and trends.
Identify and recommend new processes and/or changes to existing processes and procedures of the Travel Department while maintaining appropriate internal controls
Update Travel and Entertainment policy as needed and enforce compliance
Integration of new acquisitions to the CBIZ T&E process
Provide ongoing training to the business units as it relates to the T&E processes and procedures.
Develop and maintain a training manual for the T&E staff
Oversee T&E content of SSC intranet site. Publish quarterly newsletters related to travel to inform travelers of changes in expense reporting, travel, policy, etc.
Negotiate agreements with key travel related vendors, including the card program, our travel agent and related vendors. Conduct ongoing stewardship reviews with travel related vendors.
Identify and implement opportunities to generate savings in the company's travel program.
Other special projects as assigned
Adhere to ethics and employee code of conduct policies and, as appropriate, communicate the same to subordinates
Monitor all activities for evidence of fraud
Review activities within job scope for sufficient controls to prevent errors and misstatements of financial results
Lead future efforts on system upgrades
Qualifications Required
Bachelor's degree with a major in accounting, finance or business preferred
3 years of practical accounting or travel related operations experience
2 years prior supervisory experience required
Clear and concise oral and written communication skills
Effective customer service skills
Proven ability to work with subordinates and peers in a constructive manner
Proficiency with Concur, Oracle, Microsoft Excel, PowerPoint and Word preferred
Ability to focus on the "big picture" but with the ability to drill down to the details
Independent and strategic thinker
Proven problem solving and analytical skills
Must be able to travel based on business needs
